Symptom
When adding a material to a sales document the following error occurs:
“Item XX: Costs not determined: There is no active inventory price for material ABC in company 1000 (EFG)”.
The document cannot be saved.
Environment
SAP Business ByDesign
Reproducing the Issue
We will use Sales Orders as an example:
- Go to the Sales Orders work center.
- Select the Sales Orders view.
- In the Show field select the All Orders option and press the Go button.
- Select the sales order XYZ (XYZ represents the number of the sales order).
- Open the sales order and press the View All button.
- Select the Items tab.
- Add product ABC (ABC represents the identification name of the product)
- Following error occurs:
Item XX: Costs not determined: There is no active inventory price for material ABC in company 1000 (EFG). (XX represents the line item number and EFG represents the name of the seller party).
However, the material and costs have been maintained (cost type inventory cost) in the product master data.
Cause
When adding an item the system will compare the posting date of the document with the validity of the the sales prices and for consistency also to the inventory prices of the item. The validity of the inventory price for material ABC needs to be changed to the posting date/pricing date of the sales order or earlier.
When a sales order was created as a follow-up from a sales quote, the pricing related data are copied from the sales quote.
The posting date/pricing date will be compared with the validity of the sales price and for consistency also with the inventory price of the newly added item and with the validity date of this particular item. As this date is the same for the header level of the sales order, it is also valid for an item added newly in the order. Hence, also for material ABC the access is done with the posting date/pricing date of the sales quote. However, the inventory price for material ABC is only valid as of a later date than the posting date/pricing date of the sales quote. Therefore the validity of the inventory price for material ABC needs to be changed to the posting date/pricing date of the sales quote or earlier.
Resolution
Since the inventory price for material ABC is only valid as of a later date than the posting date/pricing date of the sales order or if the sales order was created as a follow up document of the sales quote, the validity of the inventory price for material ABC needs to be changed to the posting date/pricing date of the sales order / sales quote or earlier.
- Go to the Product and Service Portfolio work center.
- Select the Products view.
- Select the material ABC and press the Edit button.
- Press the View All button and go to the Valuation tab.
- Select the respective line for the cost determination and press the Edit Costs button.
- In the pop up window Input Parameters for Edit Cost enter a date in the in the Valid From field which is equal to the posting date/pricing date of the sales order / sales quote or an earlier date.
- Press the OK button.
- Press the Save and Close button.
You can now enter the material ABC in the sales order XYZ and save the document. The error will not occur anymore.
