1668261 - Cannot Change Responsible Unit Of A Released Project/Project task

You are unable to change the Responsible Unit of a released Project/Project task in the Project Management work center.

SAP Business ByDesign

1. Go to Project Management work center.
2. Go to Projects view, sub view Projects.
3. Show All Projects.
4. Find the project XYZ.
5. Click Edit and select Project Plan tab.
6. In the sub tab Accounting, observe the field Responsible unit.

 You see that the field Responsible unit is grayed out.

Once a project is set to the status of "Started" or "Released," a baseline is automatically created and a snapshot is taken. At this point, certain fields become "Read-Only," including the project ID, project type, responsible unit, organizational assignments, and the billable field, which includes customer information. The profit center displayed in the project or project task is derived from the responsible unit or cost center once the project status is set to "Started" or "Released." After this point, the responsible unit becomes "Read-Only."

Additionally, when a project is created, the system sends a snapshot for accounting purposes, and the profit center we see on the user interface reflects this snapshot. Since the project snapshot has already been sent to accounting, it cannot be updated later. Therefore, we do not allow changes to be made at a later time. Furthermore, once a project or project task is released, it is communicated to various applications and objects such as FIN, HCM, SRM, and CRM, with the responsible unit. This ensures that any actuals, such as time recording, expenses, procurement, and sales, on the task are linked with the cost center. The reporting unit is directly linked to the financial accounting object, which is why the system does not allow you to change the reporting unit once the project is released.

Respective cost center and profit center which is associated to the Responsible unit will be picked up automatically.

It is necessary to double-check the project settings while it is still in planning and before starting/releasing it. Since the responsible unit cannot be changed anymore once the Project task is started / released, the only option is to cancel the existing project and create a new project.

You may consider to create new tasks  after completing the existing tasks where you can add desired responsible unit of existing projects.

Note: A change in the backend of your system is not an option since it would lead to inconsistencies from an accounting point of view.
