1675965 - Error Message: Closing of <Fiscal Year> not Possible, Depreciation Run has to be Started Before

Symptom

When you try to close period 12 of a fiscal year or a fiscal year itself, regardless if the Balance Carry Forward has been done or not, you cannot close it and the error message Closing of <fiscal year> not possible, Depreciation Run has to be started before is shown.

Reproducing the Issue

  1. Go to the General Ledger work centre.
  2. Go to the Master Data view and Company sub-view.
  3. Select the company for which you want to close the period 12 of a fiscal year of a fiscal year itself.
  4. If you want to close the period 12 of a fiscal year, select the Open and Close Periods button.
    1. Select period 12 of the fiscal year you want to close and click the Close Period button.
  5. If you want to close the complete Fiscal Year, select the Edit Fiscal Years button.
    1. Select the fiscal year you want to close and click the Close Fiscal Year button.

The error message Closing of <fiscal year> not Possible, Depreciation Run has to be Started Before is shown.

Cause

On the action of closing period 12 of a fiscal year or a fiscal year itself, the application triggers a series of check to verify that the period 12 of the fiscal year can be closed without issue. In case of problem a veto check is raised in our case the veto refers to fixed asset depreciation. It is likely that some assets still need to be depreciated in the year you are trying to close period 12 or the full fiscal year itself.

Fixed assets should be depreciated for all the valuation views of all the set of books assigned to the company for which you want to close the period 12 or the fiscal year. In other words the posted depreciation amount should equal the planned depreciation for all the valuation views of all the set of books assigned to the company for which you want to close the period 12 or the fiscal year.

Resolution

You need to check if any depreciation (irrespective of the valuation views) has been missed in the fiscal year you want to close period 12 of the fiscal year itself.

1) If the Balance Carry Forward has not been done, you can perform a Depreciation Run in Test Mode for the period 12 of the fiscal year you want to close and check the logs to see if any depreciation postings are simulated. you need to run this for all the valuation views of all the set of books assigned to the company for which you want to close the period 12 or the fiscal year.

  1. Go to the Fixed Asset work centre.
  2. Go to the Periodic Tasks view and Depreciation sub-view.
  3. Click the New button and select the option Fixed Asset Depreciation Run.
  4. Enter the Data Selection for the new run.
    1. Company: enter the company for which you want to perform the closing process.
    2. Set of Books: let the field empty therefore all set of books assigned to the company will be included.
    3. Valuation View ID: let the field empty therefore all Valuation Views assigned to all set of books assigned the company will be included.
    4. Let the Test Run flag checked.
  5. On completion of the test depreciation run open the Logs Results.
  6. Go to the tab Postings to check if any simulated postings have been initiated.
  7. Go to the tab Processed Fixed Assets to check which assets for which valuation view have been processed.

2) you can run the Depreciation report available in the Fixed Asset work centre to compare the Planned Depreciation and the Posted Depreciation.

  1. Go to the Fixed Asset work centre.
  2. Go to the Reports view and List sub-view.
  3. Select the Depreciation report.
  4. Enter the Variables to run the report.
    1. Company: enter the company for which you want to perform the closing process.
    2. Set of Books: you need to enter a set of books assigned to the company (you need to run the report for all set of books assigned to the concerned company, but you only can enter 1 set of books at a time)
    3. Valuation View ID:  you need to enter a valuation view assigned to the set of books entered previously (you need to run the report for all valuation views assigned to the entered set of books, but you only can enter 1 valuation view at a time).
    4. Accounting Period/Year: enter the fiscal year you want to close or for which you want to close the period 12.
  5. On running the report for the variables entered, change the default view, Planned Values, of the report to the view Posted / Planned Values.
  6. Compare the posted depreciation amount and the planned depreciation amount for the selection entered in the report variables.
  7. Optional you can drill down to know which assets have not been depreciated by adding the Fixed Asset field from the Not Currently Shown area

If the test depreciation run performed has simulated postings or if you notice a difference between the posted depreciation amount and the planned depreciation amount in the Depreciation report, a Depreciation run has to be performed in update mode to post the initially missing depreciation.

  1. Go to the Fixed Asset work centre.
  2. Go to the Periodic Tasks view and Depreciation sub-view.
  3. Click the New button and select the option Fixed Asset Depreciation Run.
  4. Enter the Data Selection for the new run.
    1. Company: enter the company for which you want to perform the closing process.
    2. Set of Books: let the field empty therefore all set of books assigned to the company will be included.
    3. Valuation View ID: let the field empty therefore all Valuation Views assigned to all set of books assigned the company will be included.
    4. Uncheck the Test Run flag.
  5. On completion of the test depreciation run open the Logs Results.
  6. Go to the tab Postings to check the postings initiated.

In case the Balance Carry Forward process has been completed, you need to reverse it completely to be able to perform the Depreciation run in update mode.

If, from a financial perspective, you do NOT detect any missing depreciation, create an case as the error message Closing of 2011 not possible, depreciation run has to be started before is caused by an other reason.
