1694998 - How to Delete Fixed Assets

Symptom

This Knowledge Base Article describes different scenarios regarding deleting or retiring fixed assets that can no longer be used.

Resolution

  • If you manually create a fixed asset, and the fixed asset is still In Process, then you can select this fixed asset, and choose Delete, the fixed asset can be directly deleted in this way, but this fixed asset number can no longer to reused. In fact, you don't necessarily need to delete this fixed asset, instead, you can change the Fixed Asset Description, Fixed Asset Class as well as Individual Material Description etc.
  • If the fixed asset is Capitalized, and an individual material is shown as Acquired in the Master Data of the fixed asset, it can no longer be deleted. In order to remove it from your asset portfolio, you can follow the steps below:

Select this fixed asset, choose Manual Posting and then Complete Scrapping.

  1. Check the proposed Document Date and Posting Date. You can change the proposed Closing Step.
  2. Enter a Description when necessary.
  3. Choose Add Row to specify an additional fixed asset number or subasset number to be scrapped completely. Click Delete to remove a fixed asset ID or subasset ID from the list.
  4. Click Simulate to display the document in the general ledger and preview it before the Posting is made.
  5. Post it, the asset is retired from the company at the current net book value excluding revenue.

 

  • If the fixed asset is Capitalized, but the initial acquisition cost is set as zero, in order to retire it, Complete Scrapping is not possible, you may follow the steps below: if the migrated fixed asset is Capitalized but the initial acquisition cost is set to zero the Deactivation Date is only available once Migration process control is in place with a restricted Entry possible Until date.
  1. Edit this fixed asset, and navigate to the Master Data tab.
  2. Select Life Cycle Data.
  3. Set the Deactivation Data for all the set of books.
  4. Save, and the fixed asset will be set to Retired.

 

  • If the fixed asset is Capitalized, you don't want to set this fixed asset to retired but to scrap the related individual material, please follow the steps below:
  1. Select this fixed asset, choose Manual Posting and then Individual Material Scrapping.
  2. Check the proposed Document Date and Posting Date. You can enter a Description. You can change the proposed Closing Step.
  3. Check the specified Individual Material ID or select an individual material.
  4. Click Simulate to display the document in the general ledger and preview it before the Posting is made.
  5. Post it, the scrapped individual material is set as Retired. Note that if you scrap the last individual material assigned to a fixed asset, the system sets the status of the fixed asset to Retired. The asset is then no longer managed on the balance sheet.

 

  • Meanwhile, you can also use Complete Transfer of Individual Material to completely transfer an individual material from one fixed asset to another, the original fixed asset will be set as Retired if there is only one individual material assigned.

Select the fixed asset or subasset and choose Manual Posting and then Complete Transfer of Individual Material.

  1. Check the proposed Document Date and Posting Date. You can enter a Description. You can change the proposed Closing Step.
  2. Check the specified source individual material number or select a source individual material.
  3. Specify the fixed asset number and subasset number of the target fixed asset. If the target fixed asset has a subasset number, the system adds this information automatically. For multiple subassets, you need to select the corresponding subasset number.
  4. Alternatively, you can click New to create a new fixed asset.
  5. Click Simulate to display the document in the general ledger and preview it before the Posting is made.

You can refer to the above mentioned scenarios to delete or retire fixed assets.
