1809139 - Inventory Quantity in Inventory Balance Report Differs from Quantity in Stock Overview

Symptom

The Material Inventory Balance Report is presenting a different Inventory Quantity than the Stock Overview.

Environment

Reproducing the Issue

  1. In the Inventory Valuation workcenter navigate to the Reports- List view.
  2. Open the Material Inventories - Balance Summary report.
  3. Enter the respective Material and Business Residence ID. 
  4. Press Go
  5. In the Inventory Quantity column a certain quantity is displayed, e.g. 100 ea.

Now compare this quantity with the Stock Overview report:

  1. In the Outbound (or Inbound) Logistics workcenter navigate to the Common Tasks section and select Stock Overview.
  2. In the next screen, enter the Product ID and the Site ID.
  3. Press Go.
  4. The On-Hand Stock displays as lower number than displayed in the Inventory report, e.g. 50 ea.

Cause

The difference between the Logistics inventory and the Inventory in Accounting is usually a result of unposted goods and activity confirmations related to the respective material. In most cases the documents could not be posted as the relevant accounting period has been closed already.

Resolution

To find out if there are unposted source documents related to the material you can use the Material Inventories - Unposted Source Documents report:

  1. In the Inventory Valuation workcenter navigate to the Reports- List view.
  2. Open the Material Inventories - Reconciliation report.
  3. Enter the Material and Business Residence ID in the respective fields.
  4. Press Go.
  5. A difference between the Inventory in Accounting and the Logistics Inventory is displayed in the Difference Column.
  6. From this difference navigate to the Material Inventories - Unposted Source Documents report.
  7. Here you can identify all the unposted goods receipts related to the material in question.

Once identified you can post the source documents from the General Ledger:

  1. In the General Ledger workcenter navigate to the  Closing Cockpit - Source Documents view. By default the Unposted Source Documents are displayed.
  2. Find one of the unposted goods receipts and mark the line.
  3. If the error displayed in the Messages section points to a closed period either open the mentioned accounting period and then post the document via Actions - Post Business Transaction. Or post the document into another, open period via Actions - Post Business Transaction to Another Period.

Once all relevant goods receipts have been posted the inventory balance report and the stock overview will display the same inventory quantity, i.e. 50 ea.
