1864760 - Freight Forwarder Party has not Been Picked Automatically in the Sales Order

You have created a sales order where the value for the party role has not been picked automatically.

SAP Business ByDesign

1. Go to the Sales Orders work center.
2. Go to the Sales Orders view.
3. Show All Orders and Find XYZ (XYZ represents the ID of the sales order).
4. Edit the sales order and select the View All button.
5. Go to the Involved Parties tab.
6. The value for the party role Freight Forwarder has not been picked automatically..

The determination of the party role Freight Forwarder depends upon the rule maintained in the Business Configuration:

1. Go to the Business Configuration work center.
2. Go to the Overview view.
3. Search for the activity Involved Parties for Sales Orders.
4. Open the activity and select the Party Role Freight Forwarder.
5. Select the Maintain Determinations button.
6. You will see below rules are activated for the determination:
• Business partner relationship of Ship-To.
• Business partner relationship of Account.

This means that the system will try to identify the Freight Forwarder first from Ship-to party, if it is not available in Ship-to then system will try to identify it from Account.
If it is not available in both Ship-to and Account, then the Freight Forwarder will not be populated in the sales order, in this case you can add this party manually.

Explanation on why the Freight Forwarder has not been picked automatically in the sales order XYZ:

1. Go to the Sales Orders work center.
2. Go to the Sales Orders view.
3. Show All Orders and Find XYZ (XYZ represents the ID of the sales order).
4. Edit the sales order XYZ and select the View All button.
5. Go to the Involved Parties tab.
6. Select and open the Ship-to party ABC, this will open the Business Partner Organization Overview: ABC (ABC represents the ID of the ship-to party).
7. Under the Business Partner Role, Select Account, this will open the screen of Account (of role ship-to party).
8. Select the View All button and go to the Contacts tab, then select Relationships and Responsibilities subtab.
9. No data is maintained for the Freight Forwarder party under Relationships.
10. Hence the Freight Forwarder cannot be picked from ship-to as no relationship is maintained.
11. Now as per the Business Configuration rule for the determination of Freight Forwarder, the system will look for the relationship in the Account of the sales order XYZ.
12. Go to the Involved Parties tab of the sales order XYZ,.
13. Select and open the screen of the Account ID.
14. The Account ID is same as Ship-to account, where no relationship is maintained for the Freight Forwarder.

So as per the rule from Business Configuration , the Freight Forwarder in the sales order XYZ is not picked because there is no Freight Forwarder maintained under Relationships of the ship-to or account.

SAP Business ByDesign system is behaving as expected. If you want the Freight Forwarder to be picked automatically in the sales order then the Freight Forwarder party need to be maintained in the Ship-to or Account party of the sales order (as explained in the steps provided in the Cause section).
