1866471 - No Depreciatiation Calculated and Posted for Migrated Fixed Assets

Symptom

After migrating fixed assets into SAP ByDesign using the migration tool you notice that asset XYZ has not been picked up and no regular depreciation is posted. When checking the master data you see that there are also no planned depreciation to be posted in the relevant fiscal period although fixed asset class and remaining useful lifetime should allow for regular depreciation.

Environment

SAP Business ByDesign

Reproducing the Issue

  1. Go to Fixed Assets work center.
  2. Choose fixed asset XYZ and Edit.
  3. Navigate to Values tab. By default the Book Values tab will open.

You notice that a row for Depreciation Calculated Automatically is missing and consequently there are no values shown in the columns Posted and To Be Posted. Also when going to tab Depreciation Overview you notice that depreciation values are missing.

Cause

Fixed asset XYZ has been imported with ambiguous life cycle data (e.g. Last Retirement Date smaller than current date or period of the depreciation run). Once the system is live there doesn't exist the option to update the incorrect data in the fixed asset's life cycle data or to reverse the migration. Moreover a change in life cycle data does not automatically translate into and adjustment of calculated depreciation for an affected asset.

Resolution

The easiest way to rectify this is to first change the life cycle data in case the system is not live yet.

  1. Navigate to Fixed Assets work center.
  2. Select the affected fixed asset XYZ and Edit.
  3. Go to tab Master Data, sub tab Life Cycle Data.
  4. Here you can adjust incorrect life cycle data provided the system is not live yet.

Secondly, and also in case you could not modify e.g. the Last Retirement Date, the migrated asset's depreciation values will have to be recalculated. Please proceed as follows.

  1. Select the affected fixed asset XYZ and Edit.
  2. In the Values tab a list of book values is displayed for each assigned valuation view.
  3. Following the button Values on top you have to opportunity to recalculate the planned depreciation by choosing Recalculate Adjustment.
  4. Save and apply this procedure every applicable valuation view assigned to asset XYZ.
  5. Validate the resulting values in the grid Book Values and the tab Depreciation Overview.
