Symptom
You are trying to assign the time model for the employee or you are trying to release the timesheet after adding additional hours and you receive the error message below:
Total duration of all recorded times exceeds 24 hrs on DD.MM.YYYY
Environment
SAP Business ByDesign
Reproducing the Issue
- Go to Time Administration workcenter
- Go to Employees view
- Select All Employees
- Search for the employee
- Click on Edit
- Go to Time Profile tab
- Go to Work Schedule tab and maintain the Work Schedule: Predefined
- Select Time Model from the value help
- System throws error
Or
- Go to the Home work center
- Select the Self-Services Overview view
- Select the Edit Time Sheet link
- Update the times and click on the Release button
- System shows error
Cause
The error message is displayed because you have recorded more then 24 hours for the day in the timesheet. It is possible that some time recorded on that particular day is inactive.
Resolution
You need to ensure that the time recorded for the day does not exceed 24 hours. You may follow the below mentioned steps to remove the times which are inactive.
- Go to Time Administration work center
- Click on Employees view
- Select All Employees
- Search for the employee
- Click on Edit
- Go to Employee Times tab
- Search for time entries
- Select the inactive times
- Click on Remove
Now you will be able to release the time recordings for the employee.
After following the above steps, if you are still not able to assign the time model for the employee, then end the validity of the existing time profile to DD.MM.YYYYby following the steps below:
- Go to Time Administration work center
- Go to Employees view
- Click on Edit
- Go to Time Profile tab
- Click on Add Row
- Maintain a new Start Date: DD1.MM1.YYYY1 and End Date: Unlimited
- Change the End Date of the existing Time Profile to DD.MM.YYYY
- Click on Save
Now you will be able to assign the time model to the employee for the time profile with Start Date: DD1.MM1.YYYY1 and End Date: Unlimited.
Note:
Even though the time recording you entered is less than 24 hours, if a time recording is spanning across two days, then total duration will be considered under the first day. For example, you record time from 2 am to 11 pm. You would like to add 6 more hours. 1 hours for the first day and 5 hours for the next day. If you do it in a single time entry, the system will calculate 6 hours to the 1st day and an error will occur that it is not allowed, because it is over 24 hours. You can only record 3 more hours for the first day, but not 6 hours. If you would like to record 6 hours, then you need to split it into a time entry for the first day and into a time entry for the next day.
