2051368 - A User-Created Time Account Is Not Available for Selection In The Employee's Time Profile

Symptom

You have created a Time Account in one of the country-based time account activities available in Business Configuration > Fine Tune (e.g. Time Accounts - Australia). Right after, you tried to add this time account to an employee's Time Profile, however you noticed that the newly created Time Account is not available for selection on the drop-down list for time accounts. As your last attempt to assign the time account, you force the situation by typing the Time Account code and pressing enter and then the system throws the error message: Type of time account not valid.

Reproducing the Issue

  1. Go to Time Administration work center
  2. Go to Employees view
  3. Search for the respective employee
  4. Click Edit button
  5. Under Time Profile tab, click Time Account Rules sub tab
  6. Click Add Row
  7. Click to open Time Account drop-down menu
  8. See that your newly created Time Account is not available for selection
  9. Type the Type Account code and press enter
  10. System throws error message: Type of time account not valid

Cause

The reason for the unavailability of your newly created Time Account in the drop-down list for time accounts and for the error message: Type of time account not valid is the same: the Time Profile Start Date is a prior date than the Time Account Valid From date you defined in the fine tuning activity (e. g. Time Accounts - Australia) and hence the Time Account is not valid for the respective Time Profile for a certain period.

For example:

Time Profile Start Date: 15.08.2014
Time Account Valid From date: 21.08.2014

The Time Account is not valid for this respective Time Profile from 15.08.2014 to 20.08.2014.

Resolution

There are two available resolutions here:

1st -  Change the Time Account Valid From date to be the same as Time Profile Start Date (e.g. 15.08.2014) or even a prior date:

  1. Go to Business Configuration work center
  2. Go to Overview view
  3. Search for the country-based activity (e.g. Time Accounts - Australia)
  4. Click Maintain Time Account Types
  5. Select the respective Time Account Code
  6. Change the Valid From date and click Save

2nd - Copy the Time Profile in order to create a new one (Start Date of new Time Profile entry will be defined as today's date) and then add the Time Account to this new Time Profile entry:

  1. Go to Time Administration work center
  2. Go to Employees view
  3. Search for the respective employee
  4. Click Edit button
  5. Under Time Profile tab, select the available Time Profile entry and click Copy
  6. On the newly created entry, you can use the drop-down list to find your Time Account

The second solution is also quoted on the help document Assign a Vacation Time Account under Procedure session.
