Resolution

The Mass Create Calibration Sessions option allows users to create multiple calibration sessions at once. To do so, you'll first need to give each Admin permission to use this option.

Prerequisites

You need to grant the "Mass Create Calibration Session" permission in Role Based Permission settings.

  1. To enable it Go to Admin Center
  2. Under Manager Employees > Set User Permissions > Manage Permission Roles
  3. Select the respective role > Click the 'Permission' button
  4. Under Administrator Permissions search for the Manage Calibration menu
  5. Once you're there, enable the 'Mass Create Calibration Sessions' option

Once you enable that permission, you can go to Admin Center > Mass Create Calibration Sessions to create the sessions you want.

What is the correct CSV file format to Mass Create Calibration Sessions with multiple participants

The correct csv format to mass create Calibration Sessions with multiple participants as well as multiple subjects is as below. See also the attached sample csv file for the template.

  1. The first line is the header which tells the order in which session attributes will occur in the following lines.

  2. These are required for successful session creation: Session Name, Template, Session Facilitator, Session Owner, Subject

  3. These are not required but understood by the application: Session Date, Activation Date, Location

  4. If there are more than one Participants for one session, the “|” symbol is used to separate the participants as shown in the above screenshot. This needs to be repeated for all the rows.

  5. If there are more than one Facilitator or Session Owner, the same symbol “|” needs to be used.

  6. Multiple subjects can also be separated by the symbol “|”.

  7. Be careful of typo errors (or changing the ordering of usernames) as this can lead to undefined behavior.

We recommend that you always validate an import file before clicking "Create Sessions". The validation step gives a report of all errors/ambiguities encountered reading the file and also what sessions will be created and with what information.

Common import error that needs to be checked:

    • There is a template defined for each calibration session
    • The template exists and is accessible
    • Every session has subjects, facilitators and participants
    • The activation date does not precede start date
    • User names are valid or not.

Note:

1. The import does not support incremental loading (for example, adding additional subjects).

2. Mass create Calibration Session will not validate conditions such as if the same user is added for both subject and participant (which will not pass validation in single create). This is currently by design. If the customer wants validations like single create, please raise an enhancement.(CAL-3968)
