Symptom
The admin would like to assign new item’s online content to all users who have been assigned it via curricula, independently of them having completed the old version of the content or not.
Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental.

Resolution
- Revise the item, make sure that the checkbox “Do you wish to copy the substitute relationships for this item to the new revision?” and "This item has online settings. Do you wish to include the online settings in the new revision of this item?" are CHECKED >
- Do not make it production ready >
- Finish the revision for now >
- Add the new content and set the configurations >
- Click the "Actions" button > Finalize Revision >
- In this step you may CHECK the options "Do you wish to inactivate previous revisions of this item?", "Do you wish to update curricula potentially affected by this new item revision?" and "Do you wish to update User learning plan assignments potentially affected by this new item revision?" >
- The next step will give you the option to add this new revision item to the curricula which the previous revision was assigned to, including the retraining options. If you don't add this here, you may need to add it later, directly in the curricula options >
- Finish the Revision. This will make the item production ready.

It is recommended to have the Curriculum/Program Maintenance (previously known as Curriculum Clean Up automatic process), which is set up to run in System Administration > Automatic Processes > Curriculum/Program Maintenance), running.
If you don’t schedule the Curriculum/Program Maintenance process, then incorrect curricula and program assignments can remain with users. This process will modify active and inactive curricula and programs.
---
NOTE: It’s important to note that if the users have completed the old item and content revision, it will still show in their learning history page and in Learning admin reports, only if the admin keeps both the contents in the curricula content tab. If the admin removes the content from the curricula content, then the history data recorded while that content and curricula where bonded is erased. So you may want to keep both and change the title of the new revised item so users can easily distinguish the different versions thus avoiding confusion when an item revision takes place.
NOTE: To Revise item while maintaining curriculum retraining settings in Learning, please check the KBA 2549031.
