Symptom

This solution explains how to correctly configure the Objective Competency Summary section on PM forms and in Admin Center so that the data can be correctly reported on. Specifically, this will address 2 key issues

  • Overall Goal and Overall Competency Ratings are not being displayed in Reporting (i.e. Ad hoc reporting, legacy reports).
  • Overall Goal and Overall Competency Ratings being displayed in Reporting and Employee Profile are not consistent with the rating displayed in the form.

Resolution

The Objective Competency Summary section generates an overall competency score and an overall goal score.

These scores are used in several of the dashboard portlets. You need to include this section in a Performance Management form if you want to report these scores. If you do not include this section, the dashboards and reports will contain no data for these ratings. The ratings will also not show in the Objective (sysoverallObjective) and Competency (sysoverallCompetency) portlets in Employee Profile.

The section can be added via Admin Center > Manage Templates.

The Obj-Comp Summary section is linked to 2 areas in Admin Center:

  • Admin Center > Succession > Matrix Grid Rating Scales.
  • Admin Center > Succession > Matrix Grid Reports: How vs What

Be sure to set the rating scale for Competency and Objective in Matrix Grid Rating Scales to the same scale as on the form (i.e. if the form is using a 5 point scale, then you should use a 5 point scale in the Matrix Grid Rating Scales).

You can use different scales, however, this will cause the reporting and employee profile to show a "normalized" score. In Employee Profile, for example, the Overall Goal Rating and Overall Competency Rating portlets will show the score based on the rating scale set in Matrix Grid Ratings Scales when the form is completed. The Normalized scores will show the ratings based on the PM forms (i.e. the scores you see in the obj-comp summary section). Please Note: In the Summary section of the PM form (in case the obj-comp section was hidden in the template), the ratings that will display will be based on the Rating Scale configured in General Settings.

If the How vs. What is not set to use Competency and Objective (i.e. it is using Performance and Potential), then no scores will be shown in reporting. It does not matter if you change this setting in Admin Center after the forms are created. The change is NOT dynamic. The correct scales need to be set in place before the forms are created, and this setting stays with the form.

NOTE: Please be sure to thoroughly test reporting when setting up an obj-comp summary section.
