Environment
SAP SuccessFactors Performance Management
Resolution
- The Get Feedback button can be configured to just allow the user that the form is sent to add comments (get-comments) or to allow the user to add comments and ratings (get-edits).
- The functionality of the button is controlled by enabling and disabling the checkboxes on the Form Template Settings page.
Go to Admin Center > Form Template Settings > Select the Template:
- Disable Ask For Comment Routing
- Disable Ask For Edit Routing
Disable Ask for Edit Routing (Get Feedback)
- No longer allows users to add users from outside the established approval chain to the routing map during the Modification stage of the routing process.
- When you select this option, you are turning off this feature for this form.
- By default, this option is turned on (option is NOT checked), and users can select other users who they want included in the approval process, and have the form routed to these added users.
- In the Get Feedback confirmation page, user will be prompted with "You are about to send this form to [Recipient's name] to ask for edits."
- Additional Information: Ask for Edit Routing
- will put copy of form in the folders of the additional commenter(s)
- allows comments and ratings to be added, as expected
- allows for edits such as removing goals, custom fields and so on.
Disable Ask for Comment Routing
- No longer allows users to route forms for comments only.
- When you select this option, you are turning off this feature for this form.
- By default, this option is turned on (option is NOT checked), and users can route the form to others to get comments without allowing those users to change anything else on the form, such as ratings.
- In the Get Feedback confirmation page, user will be prompted with "You are about to send this form to [Recipient's name] to ask for comments."
- Additional information: Ask for Comment Routing
- will not put copy of form in folders of the additional commenter(s)
- allows comments to be added, as expected
- does not allow any rating from the commenter
- does not allow any custom fields to be edited
Change Timing
- When you change these options via admin tools they apply immediately to existing forms.
- When both options are turned off, the Get Feedback button will no longer be visible in the form.
- When both options are turned on, users will have the option to either ask for Comments or Edits in the Get Feedback confirmation page after selecting the user they want to send the form to.
When you use Get Feedback these are the expected behaviors:
- Commenter name is displayed next to any text they writes.
- All ratings and comments in place will be seen by commenter unless the section is hidden. Consider when you want to make feedback request.
- Rating option 3 (used for split comments) in the form XML does not allow the commenter to enter ratings, only comments.
- Rating option 2 (rating displayed next to each commenter) in the form XML does allow the commenter to enter ratings as well as comments.
- The Get Feedback Functionality is not available when form is at the Collaborative Step.
- Move getting feedback form to previous step or next step, the getting feedback will end and send form to previous step or next step. In audit trail, the action name is Reply Edit.
Button Permission
The button can also be permissioned to be visible to only certain people and only at certain steps if needed. Details are in Implementing and Managing Performance Management - Button Permissions.
Recall a form that is out to get feedback
- When you select Get Feedback, a new window opens in which you search for, select, and confirm the name of the person from whom you want to get feedback.
- You can recall the form when it is out for feedback without having to go through an administrator.
- Go to your En Route folder and select the form.
- At the bottom, click Recall Feedback.
Email Notification to the Feedback Provider when the form has been recalled
- Currently, this is the expected behavior of the system wherein the Feedback Provider will not receive any email notification when a form is recalled to his/her Inbox.
- If you wish to see this feature added to the product please create an Enhancement Request.
Change Label of Get Feedback button within the form
To change the label of the Get Feedback button, go to Admin Center > Text Replacement. Select the language and search for the key ROUTE_Get_Feedback.
Reporting on get feedback recipient
Get feedback recipient can NOT be output in report with "current step owner" column. The current behavior of report is that the report details are associated with the current step owner instead of the get feedback recipient. This is what is reflected in the database and the output of the ad hoc report pulls from this.
Workaround
Use the classic reporting tool "Detailed document search".
Steps: report center > click on "switch to classic view" > classic reporting > Detailed document search > Detailed search > refine criteria > generate report > export report
