2079991 - How to add more than one Job Relationship of the same Type - Employee Central

Symptom

  • This article explains how to add more than one job relationship of the same type.
  • In the Job Relationships Portlet on Employment Information, it does not allow us to add more than one relationship of the same type. I have got a requirement to add Multiple 'Custom Manager' in the Job Relationships Portlet for an employee. Is there a way out to achieve this?

Resolution

Job relationship can show hierarchical relationships, meaning there is a reporting line between the granted user and the target user. These are Job relationshipbetween employees and their managers as well as employees and their second managers or alternate managers. However, Job relationships can also show non-hierarchical relationships, which are single-level relationships. These include the relationship of an employee to the HR manager, the matrix manager, additional manager, and custom manager.

The standard relationships can be used by the system to, for example, route workflows or Performance Management forms.

Job relationship are either entered into the system during the new hire process or during an import. They can also be added later in the Job relationship History UI, using the Manager Self-Service (MSS) action, in Job relationship Edit page (available exclusively in the latest People Profile) or using Employee Central Quick Actions - Change Job relationship.

Job relationship records are effective-dated records to cover the employment history from hire to termination, although gaps are allowed. The data can be changed as often as required on the same day, however, only the latest change is saved.

You can configure Job relationship in the Business Configuration UI (BCUI). However, you must define them globally because the system doesn't support country/region-specific Job relationship.

Here is the list of possible relationships:

  • HR Manager

  • Second Manager

  • Matrix Manager

  • Additional Manager

  • Custom Manager

  • Delegate 1

    Someone who can act on behalf of the manager against all of their direct reports excluding the manager.

  • Delegate 2

    Someone who can act on behalf of the manager against all of their direct reports excluding the manager.

  • Future Manager

    This relationship is applicable only for internal hires.

It is possible to select multiple custom managers or matrix managers by updating the jobRelType Picklist.

  • For Legacy Picklists using Picklist Management, the picklist jobRelType need to be updated with more values and different labels - but External Code for such a row remains same as custom manager (case-sensitive). This is applicable for both 'custom manager' and 'matrix manager'. Here we create a new Custom Manager labeled Project Manager.

  • For Migrated Picklists using Picklist Center, using the same External Code for multiple types of Job Relationships is not possible and an error "Duplicate External Code found for Values with value <external code>" appears when attempting to save the changes. To achieve this, use unique External Codes and you can use the same Non-Unique External Codes.

    Note: This migrated Picklist configuration for jobRelType will sync correctly to the Org Chart, User Data File (UDF), and RBP.

After making these changes, when we choose a Job Relationship, the Project Manager is now available.

Important Note:

It is possible to update a Job Relationship in the system using the following transactions:
  • Manager Self-Service  Change Job and Compensation Info

  • People Profile  Actions

  • Employee Central Quick Actions  Change Job Relationships

It is not possible to restrict which relationship types a user can add to the Job Relationship

Picklists

Use the predefined picklist for Job Relationship found in the in the Software Download Center

You cannot assign multiples of the same Job Relationshipto an employee, therefore, if you want to have more than one matrix manager or custom manager, for example, a project manager, you need to create custom picklist values. Customers can manually add new Job Relationship types to their picklist using the Picklist Center. For more information, refer to Picklists in SAP SuccessFactors.

Job Relationship entries must be synced between Employee Central and the Employee Profile. For more information, refer to Picklist Configuration for Employee Status and Job Relationship Type.
