2082785 - What happens to hires on the New Employee Step when new forms are introduced in a release? - Onboarding

Symptom

  • Year after year, new hire and tax forms at both the state and federal level are introduced into the Onboarding system. These new forms are typically introduced during our major releases, as they have a significant impact to our customer's Onboarding instances, and furthermore typically impact the panels that are all compliance-focused.

 

  • When these releases occur when a hire is on the New Employee Step, hires can potentially be impacted depending on what activity they are on in the Orientation Step process.

Environment

  • XpressHR Onboarding.

Resolution

Clarification

The below diagram illustrates which hires at which activity will be impacted. 

  • For hires at the Post Hire Verification step or before withholding panels, the new forms will be presented and the hire should have no issues proceeding.
     
  • For hires on withholding panels or after, the old forms will be completed, but the new forms will be generated in the Employee Signature Step. In this case, hires will be obligated to go back and complete the newly uploaded forms.
     
  • For hires on the Orientation or Manager signature panel, the old panels and forms were generated and completed.
