Resolution
When working with SAP Jam, getting users into the system is one of the first steps and clearly one of the first questions. SAP Jam itself can display the users that are currently on SAP Jam and you can grant "Jam admin"(Support / Company) permissions, but SAP Jam always needs an IdP (e.g. SuccessFactors Platform or IAS).
In the SF platform case, there are a few important things you should know with regard to user management:
- How can users access Jam:
- In order for users to access SAP Jam, they will need to be granted "Jam access" as part of the general user permissions in RBP (KBA 2474916).
- In order for users to access SAP Jam, they will need to be granted "Jam access" as part of the general user permissions in RBP (KBA 2474916).
- Nightly sync job:
- Users are brought across to SAP Jam via a nightly delta sync job within SAP's datacentres
- When the job begins, it processes the changes (new users granted permission or old users having access revoked)
- If a user was granted permission to access SAP Jam after this sync job had begun, this user would not be brought across to SAP Jam until the job ran the following night.
- How to configure job:
- In order for this nightly delta sync job to run, SAP Support creates an export job in provisioning called "Employee Export to Cubetree" which triggers this daily delta sync.
- The daily selta sync job is not visible to support / PS / customers and cannot be changed either (!)
- The daily selta sync job is not visible to support / PS / customers and cannot be changed either (!)
- This job is set up and manually run once when the SAP Jam instance is being configured for the first time. By doing this, it "kickstarts" the nightly sync job for that customer and ensures their future changes are included in the nightly delta sync job.
- It should not be edited in any way from the way it is first set up by support.
Points to remember:
- New information is ported over from SuccessFactors to SAP Jam every 24 hours during the nightly auto synchronisation. This includes any new employees, whose new SAP Jam account will be set up during the nightly sync.
- By default, the sync is set to run at 7PM DataCenter time, and the process can take up to few hours. So new employees will be able to access their SAP Jam account after the sync has run, or a good rule of thumb is the following day.
- If you'd like new employees to be able to access SAP Jam sooner, you can create a support ticket in LOD-SF-JAM-SNC component mentioning your Business urgency for the request. SAP Support will trigger the sync on ad-hoc basis.
