Resolution

Creating Competencies in Competency Libraries

Competencies are added to forms by:

  1. Jobcode/Jobrole mapping
    • The most common option is to map competencies to a persons jobcode
    • Then in the performance form you configure the section to populate based on job code
      1. Go to Admin Center > Manage Templates > [Select your template]
      2. Edit Fields and Sections > select the Competencies section
      3. In the Section Type, select Job Specific. (This job code mapping is managed via families & roles)
  2. Matching Categories
    • It's possible to configure a competency section to automatically populate with all competencies within this category
    • This can only be used for Job-Specific competency sections. Using the category filter in a core competency section will have no effect
    • Also this requires a configuration change in the template XML. For more information on how to add competency filters in the form, please refer to KB Article 2086591 - Excluding or Filtering Competencies in a Form - Performance & 360 Multi-Rater.
    • Please engage with an SAP Partner for this type of configuration change
  3. Manually Adding
    • It's also possible to configure a competency section with an Add Competency button so users manually select and add competencies from the library
    • By default, this presents a popup list of competencies related to a jobcode/role
    • This also provides opportunity to switch to other competencies to choose from the entire library
    • The section can be prepopulated with competencies using the above options and the add competency button may be enabled, allowing users to add additional competencies to the section
    • The Template tag to enable this is configurable=true
  4. Hard Coded Competencies or Custom Competencies 
    • A common option is to hard code specific competencies into the section of a form; however, this is NOT RECOMMENDED as competencies between a test instance and production are typically different
    • A hard coded one will break when copied to production
    • It is better to add the competencies to a specific "Category" in the library, then add a matching category filter to the section (see point number two)
    • To add custom compentencies, please refer to KB article 2436341

Note: Hard coded competencies are not supported in Gap Analysis reports

360 Form custom competencies:

You can only add custom competencies via XML configuration of your template. This functionality isn’t currently available using Manage Templates in Admin Center. After you add custom competencies, the Custom checkbox, which is grayed out in your template, will be checked automatically.

IMPORTANT: Never delete a competency from the your library just because it's no longer needed. This will cause historical forms & reports to break!
