Symptom
How do I regroup individual forms that were launched individually so I can mass route them all at once?
Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental.
Environment
SAP SuccessFactors Performance Management
Resolution
If forms were launched individually, they cannot be mass routed until they are re-grouped. Regrouping cannot be completed if any of the following is present:
- The Automatically Insert New Manager As Next Recipient If Not Already setting is enabled
- The Modify Form Route Map tool was used to change a form route map
- Any step in the route map is a U Step
- A form was routed back from a signature or completed step
Any forms meeting the above criteria cannot be regrouped and must be moved one-by-one.
Considerations Before Proceeding
- This requires a job to be set up in Provisioning. As a customer, you do not have access to Provisioning. Please engage a Certified Partner to assist with this configuration. If you do not have a Certified Partner, you can look for one using SAP Professional Services / SAP Certified Partner / SAP Account Management Team [SuccessFactors Cloud].
- This job will run for all forms.
- The job adds a batch ID to all forms that meet the following criteria:
- Are based on the same form template
- Have exactly the same route map steps & information
- Have the same route map history id
- For large numbers of forms, system performance may be impacted and the job can be run overnight
Steps to Create Provisioning Job
To execute the grouping of forms, create a scheduled job via Provisioning:
- Navigate to Manage Scheduled Jobs > Create New Job
- In the Job Type field, select Merge form batches job
- Populate all other fields per your requirements
- Click on Create Job
