Note: this solution is for modifying the route map step dates and NOT the form dates, Due date, Start Date, End Date. If you want to change the form Start, Due or End date please refer to KB article 2076600

Modify Form Route Map for a Single Form:

For some reason you need to alter the route map of a specific form so it is handled differently than the route map assigned originally. You do not wish to alter the route map of any other forms, just the steps that a specific form will take. To modify a document route map, follow the below steps:

  1. Navigate to Admin Center > Modify Form Route Map
  2. Enter a document ID
  3. Click the Find Document button
  4. The menu allows you to 'Add a Modify Step', 'Add a Signature Step' and/or DELETE a step in the Form Route Map.
  5. Click 'Save Map'

Modify Form Route Map for Multiple Forms:

You can update the route map for multiple forms all at once. This option is useful during the middle of a review cycle when you want to change dates because they’ll be missed or you want to add/delete a future step. With this option, you can easily search for the forms you want by subject or form templates and make the change to the associated route map. To use this option:

  1. Navigate to Admin Center > Modify Form Route Map
  2. Search by: Form Template
  3. Click Select to specify a template, then click Done/Finished
  4. Click Select a Group of Forms.
  5. Choose the group of forms you want to work with, then Done/Finished
  6. Optional: You can also select forms within the group based on their current route step. More options... brings you to further filtering if you want to target only a subset such as a specifc user, department, etc.
  7. Click Search
  8. Tick the box next to Select all [#] documents in search results then Next

  9. The Select an Action tab will be visible if more than one form is selected:

Note:

  • If the user selects over 300 forms, the system will process the update asynchronously and the user will receive an email regarding the outcome.
  • There is a max limit of 5,000 forms at a time. This upper limit can be impacted depending on the size and complexity of your forms which increase the total job size and reducing the total number you can process at once. One approach is to select smaller batches if your updates timeout or fail. For example, try batches of 500.
  • You will not be able to edit the Route Map Step type or permissions if the form has already been routed to that step. Only modifying the step name, step introduction, dates and other text-based attributes should will be possible for steps that the form has already been routed to.
  • Limitation: If you have Change Engine configured and you use Modify Form Route Map to add a new step, this action excludes the <freeze-user-to-role> attribute from the route map. The form will lose the Change Engine configuration. This would only work for individual forms as it's not possible to add a new step in bulk.
  • Once the form's route map was modified, the form will be removed from the group. As a workaround, you could click 'Forms updated individually' and save to find the form is not in the group.
  • Forms will only be part of a group if they meet specific requirements. See KBA 2086638 - Regrouping Individual Performance Forms
