2087440 - Disabling Email Notifications For One or More Users for an Instance

Symptom

  • How to disable or enable the email notifications for one or more users
  • How to temporarily disable all the email notifications in the instance
  • Is it possible to avoid a group of users from receiving notifications?
  • I'd like to test some notifications. How to stop users from receiving it

Resolution

Disable Notifications for a Single User

  1. Navigate to Admin Center
  2. In Tools Search, enter "Change User Email Notification"
  3. Enter the First Name, Last Name, Username and/or Job Code for the user you wish to alter the Email Notification for
  4. Click Search Users
    1. Place a check mark in the Email Notification column check box to enable Email Notifications
    2. Remove the check mark in the Email Notification column check box to disable Email Notifications
  5. Click Save

Disable Notifications for a Group of Users

  1. Navigate to the Admin Center
  2. In Tools Search, enter "Change User Email Notification"
  3. Choose the Filters to filter the users by or Enter a Job Code for the group of users you wish to alter the Email Notification for
  4. Click Search Users
    1. Place a check mark or check marks in the Email Notification column check box to enable e-mail Notifications
    2. Remove the check mark or check marks in the Email Notification column check box to disable e-mail Notifications
  5. Click Save

Disable Notifications for a ALL Users

  • Instead of looking up all users and disabling notifications for them, simply use the Single Recipient feature
  • It directs all instance notifications to only one specific email address you choose
  • Refer to KB article 2087739 for further information on how it works and how to set this feature up

Enable Users to Configure their Own Notifications

  1. Navigate to Admin Center
  2. Go through Company Settings > Company System and Logo Settings
  3. Look for the option called "This option allows a company-wide setting on whether users will receive Email notifications"
    1. If checked, all users will continue to receive email on all workflow related processes
    2. If not checked, each user has an option to turn notification on/off"
  4. Click Save

Notes About the Company Wide Setting

  • If the instance has the setting enabled, the following message appears: "The company-wide setting for Email Notification is enforced, so individual setting is not allowed."

As of 2H 2023 you can now monitor the delivery of email notifications using Stories in People Analytics. For more details see KBA "3387145 - Reporting on the delivery of System Email Notifications"
