How to Enable and Disable Notifications

There are three places where these notifications could be turned off:

  1. Form Template Settings:

  • Admin Center > Performance Management > Form Template Settings
  • Select desired form template
  • Make sure template is Enabled
  • Check the following template settings (should be a number in each): Will apply to live forms
    • Default Due Notification Date (in days): #
    • Default Late Notification Date (in days): #
  1. E-Mail Notification Templates Settings:

  • Admin Center > Company Settings > Email Notification Templates Settings
  • Make sure the following notifications are enabled: Will apply to live forms
    • Document Due Notification
    • Document Late Notification

Note: The notification text can be modified using this tool.

  1. Change User Email Notification:

A user or group of users' email notifications could be turned off in this tool. Check this if there are specific users not receiving notifications

  1. Admin Center > Update User Information > Change User Email Notification
  2. Look up user(s) to see if checkbox

Who will Receive Document Late Notifications?

Unlike the Document Completed notification, where recipents can be controled via the Email Template > Recipients option (Manager Only, Manager & Employee, Manager, HR Rep. & Employee, Everyone in Routing Chain), the Document late notification will only be sent to a user when the documents in his/her Inbox is already late for completion

Disabling Notifications Per Template

  • When enabled, the notifications will be sent for all active forms and templates
  • However, notifications for specific templates can be disabled

Note: Specific people or forms cannot be disabled. This is possible only at template level

  1. Go to Admin Tools and open the form template
  2. Check the box for the notifications you want to disable for that template
    • Disable Late Notification
    • Disable Due Notification
    • Disable Step Exit Notification

Controlling When the Document Due Notification or Document Late Notification is sent

This is done per template from Admin Tools

  1. Select the template
  2. Open Advanced Settings to set when the email will be sent

Default Due Notification Date

Specifies timeframe in which an email reminder notice is sent to a user in relation to the form's due date. Value also applies to Step Due Dates entered for any step in the rating map associated with the form template.

Example: Specify a reminder notice is sent 7 days before the form is due.

Enter a number in this field.

Example: Enter 7 if you want the reminder email notice sent 7 days before the form is due

Example: Your form template has Default Due Notification Date (in days): “7”

The route map associated has a step due of 17th  (of the month)

The Form Due date was set for 20th (of the month)

You will get a step due notification on the 10th as well as a from due notification on the 13th if both these email notification types are enabled.

Change timing

Immediate, including existing forms.

Default Late Notification Date

Specifies timeframe in which an email notice is sent to a user informing them the form is late.

Timeframe is determined in relation to the form's due date.

Example: You can specify a notice is sent 7 days after the form was due.

Enter a number in this field.

Example: Enter 7 if you want the email notice sent 7 days after the form was due.

Change timing

Immediate, including existing forms.

Timing Tips For Email Notifications

There is often confusion as to the actual time an email is sent and when it will be received by users. The following tips explain some common considerations:

  • Automated emails are sent out based on overnight cron or batch jobs
  • It isn't possible to control the specific time of emails. Most jobs are run for all clients via our quartz servers based on system defaults with no end-user control
  • Emails are only sent ONCE. If it is missed today for any reason, the system will not send another one tomorrow to catch up or account for missed emails
  • It it is necessary for emails to go out on consecutive days, adjust the due or late days every day
