Symptom
- After importing user(s) through Employee Import on Admin Center, an email was generated that shows the 'process' completed successfully; however user(s) was/were still not updated.
- File validation is successful, however after importing the file the email notification says some/all users were not update due to hire date is invalid.
Environment
SAP SuccessFactors HXM Suite
Reproducing the Issue
- Validate the file;
- Import users into SuccessFactors;
- Receive e-mail notification about successful completion of import;
- Users were not created/updated.
Cause
One possible cause for the user not being updated correctly is that the date format used in the import file is not correct. Example of incorrect date format: DD/MM/YYYY or MM-DD-YYYY
Resolution
Successfactors requires the following Date Format: MM/DD/YYYY, and there is no way currently to change this format.
It is not possible to use other characters than "/" between the dates. System will not accept symbols as "-" or "." (MM-DD-YYYY or MM.DD.YYYY)
Different date format will pass on file validation, since this is a simple validation of the file itself. Validation of the values will happen during the import process.
Below is an example of the information contained in the confirmation email. In this example, the 1 record was not imported even though the process itself completed successfully. It is important to review these emails as they provide insightful information indicating whether records have been imported or not. This may help you determine quickly if your data was imported as desired.
Total user count in the import file: 1
1.New users created
->Active users: Success: 0; Fail: 0.
->Inactive users: Success: 0, Fail: 0.
Note: The number of active and inactive users who are created.
2.Users updated: Success: 0; Fail: 1.
...
2.3.Users updated without status changed: Success: 0, Fail: 1.
Note: The number of active and inactive users whose data records are changed without status change.
Below is an example related to wrong date format in hire date:
TROUBLE SHOOTING
Errors:
1.The following users were not imported or updated because the hire date is invalid.:
[Username:"User's first name and last name"]
Note: If this import file is generated through an SAP or any HRIS system you would also need to make sure you pass the 0's in the file, and that dates are in the format required by SuccessFactors.
