2100501 - How to Read the Days Outstanding Key Figure in The Payment Statistics - Customers Report

Symptom

You are checking the payment statistics of a certain customer in a certain period in the Payment Statistics - Customers report.

You notice a result in the Days Outstanding column but you can't figure out how this number has been calculated.

Environment

SAP Business ByDesign.

Reproducing the Issue

  1. In the Receivables workcenter navigate to the Reports - List view.
  2. Open the Payment Statistics - Customers report.
  3. In the Customer field select the respective customer.
  4. In the Proposed Posting Date maintain a period span, e.g. Last 14 days.
  5. Press Go.
  6. A value is displayed in the Days Outstanding column but it is not clear how this value has been calculated.

Cause

The Days Outstanding key figure value is being calculated with the following formula:

Proposed Posting Date x Total Open Receivables - end of period/ Total Receivables in the period.

The parameters Total Open Receivables - end of period and Total Receivables in the period are not available in the report. They can't be added either.

Resolution

It is still possible to derive the Days Outstanding value:

A) Proposed Posting Date:

The Proposed Posting Date parameter represents the number of days within a period.
Example: For the relative selection value Last 14 days the value is 14.


Please note: If you select the Operator <=Less Than or Equal with date MM.DD.YYYY, then the report calculates the days, starting from 01.01.1999 up until MM.DD.YYYY.
Example: If you enter <=Less Than or Equal - 31.10.2014 then the Proposed Posting Date, i.e. number of days is 5783.

B)Total Open Receivables - End of period:
This parameter represents the total Outstanding Amount of all items that are still open at the end of the specified time span.

C)Total Receivables in the period:
This parameter represents the total sum of the Document Amount of all items that have been open during a specific time span.


To find the Document amount and the Outstanding amount values navigate to the Details of All Items - Customers report from the Payment Statistics - Customers report:

  1. In the Receivables workcenter navigate to the Reports - List view.
  2. Open the Payment Statistics - Customers report.
  3. In the Customer field select the respective customer.
  4. In the Proposed Posting Date maintain a period span, e.g. Last 14 days.
  5. Press Go.
  6. Now click into the cell displaying the Payment Amount.
  7. A very small arrow appears in the bottom right corner of the cell.
  8. Click on this arrow and select Details for All Items - Customers.
  9. First note down the result in the Outstanding Amount column. This value represents the Total Open Receivable - End of Period parameter of the formula.
  10. Then note down the result of the Document Amount column. This value represents the Total Open Receivable in the period parameter of the formula.
  11. You can now calculate Proposed Posting Date x Outstanding Amount (result)/ Document Amount (result).

Example:

  1. Proposed Posting Date: Last 14 days = 14
  2. Days Outstanding result: 7
  3. Navigate to the Details of All Items - Customers report
  4. Outstanding Amount: -50,00 LC
  5. Document Amount: -100 LC
  6. Formula: 14 [Proposed Posting Date] x -50 [Outstanding Amount (result)] / -100 [Document Amount (result)] = 7
