2144762 - Add Candidate in SuccessFactors Recruiting


How can recruiting users use the Add Candidate functionality to add and create an external candidate profile?

  • The job requisition must be open in order to add a candidate to it. 
  • The user must have "Candidate Search Permissions" granted in order to be able to "Add Candidates". To grant the user permission, please follow the steps below: 

Non-RBP Customer:

  1. Go to Admin Center
  2. Recruiting Permissions
  3. Check "Standalone search permission" and "Candidate Search within Job Req” to see “Add Candidate” option


RBP Customers:

  1. Go to Admin Center
  2. Manage Permission Roles
  3. Select appropriate Role
  4. Recruiting Management: “Candidate Search within Job Req"

Once permission is granted, authorized users will be able to Add Candidate by two different methods:

 1. Via Candidate tab:

    a) Go to Recruiting

    b) Candidates Tab

    c) A recruiting user who has candidate search permissions click "Add Candidate"


2. Via Job Requisition dashboard > Add Candidate:

    a) Go to Recruiting

    b) Job Requisition tab

    c) Hover the cursor over the job requisition title: Add Candidate - If a candidate is added by this link, the completed candidate profile will automatically be associated to the requisition in the Forwarded status.

  •  Following both methods, the user will be able to complete the required user account information and click "Create Profile". This screen fields and permissions are not configurable.

  • Candidates added into the system through this method receive an e-mail notification informing them that they have been added, and providing information about how to reset their password and access their account to manage or delete their data.
  • Previously, this e-mail template could be configured, or the e-mail trigger could be disabled in Admin Tools > E-Mail Template Notifications Settings > Recruiting Manual Candidate Creation Notification.
  • However, after a recent release this notification has been moved under "Recruiting Email Triggers" in Admin Centre.
  • If you want to enable or disable this trigger, please navigate to Admin Centre > Recruiting Email triggers >  Enable/Disable "Recruiting Manual Candidate Creation Notification" trigger.

Note: It's not possible to send the candidate account information separately in another email. The triggers will only work as expected within this trigger and this is a system limitation.

  • At this point, the candidate account is created but contains little data. The recruiting user can attach a resume and cover letter.
  • Attachments are immediately saved to the record even if no additional required fields are filled out and saved.
  • In this way a recruiting user can create a searchable candidate profile with little data entry.

  • The recruiting user can also input field and background element data into the candidate profile record.
  • In this case the recruiting user must input all required fields before saving changes.
  • If the recruiting user has no write permissions to the candidate profile, this is the only opportunity for them to input data into the record.

  • After, when the candidate registers him/herself using the same email account, the new account is going to be automatically linked to the candidate added by the recruiter.
  • It is important to note, once the candidate is added to a requisition, is it not possible to have this action undone.
