Environment

SAP SuccessFactors Recruiting Management

Resolution

I. Pre-requisites:

  • The job requisition must be open to add a candidate to it. 
  • The user must have candidate search permissions granted to utilize Add Candidate

II. How to Grant Candidate Search Permissions

a. Non-RBP Customer:

    1. Go to Admin Center
    2. Recruiting Permissions
    3. Check "Standalone search permission" and "Candidate Search within Job Req” to see “Add Candidate” option

b. RBP Customers:

    1. Action Search: Manage Permission Roles
    2. Select appropriate role
    3. Select the Permission... link > Under the User Permissions section, select Recruiting Permissions > check box for Candidate Search within Job Req

III. Access Add Candidate

a. Via Candidate tab:

    1. Go to Recruiting
    2. Candidates Tab
    3. A recruiting user who has candidate search permissions click "Add Candidate"

b. Via Job Requisition dashboard > Add Candidate:

    1. Go to Recruiting
    2. Job Requisition tab
    3. Hover the cursor over the job requisition title: Add Candidate

NOTE: If a candidate is added by this link, the completed candidate profile will automatically be associated to the requisition in the Forwarded status.

IV. Complete the required user account information and click Create Profile

  • NOTE:
    • The fields and permissions in this screen are not configurable.
    • All the fields on this screen are required to successfully add the candidate.
    • The candidate account will contain little data entry, but this allows for a searchable candidate profile.

 

V. Candidate Account

NOTE: If the recruiting user does not have write permissions to the candidate profile, this is the only opportunity for them to input data into the record. 

The recruiting user can attach a resume and cover letter. Attachments are immediately saved to the record even if no additional required fields are filled out and saved.

The recruiting user can also input field and background element data into the candidate profile record. The recruiting user must input all required fields before saving changes.

After the candidate registers themselves using the same email account, the new account will automatically link to the candidate added by the recruiter. Once the candidate is added to a requisition, this action cannot be undone.

  

VI. Email Notifications

  • Candidates added to the system receive an email informing them they have been added. It provides information on how to reset a password and access their account to manage or delete their data.
  • If you want to enable or disable this trigger, navigate to Action Search: Recruiting Email triggers > Enable/Disable Recruiting Manual Candidate Creation Notification trigger.
    • NOTE:
      • It's not possible to send the candidate account information separately in another email. This is a current system limitation.
      • This setting will also send email notifications to External Successors created from within the Succession module.
