Symptom
This KBA provides the basic steps and configuration required to create a 'Time Account' in Employee Central Time Off.
Environment
SAP SuccessFactors Employee Central - Time off
Resolution
Prerequisites
- Time Type - For each absence type, individual time type configuration must be created.
- Time Account Type - For every time type, time account type must be created and assigned under Time Account Posting Rules on time type.
- Time Profile - After time account types are assigned to the time type, time types should be assigned on a time profile, which then needs to be assigned on employee's job information.
Time Type
- Create Time Type by following the relevant configurations mentioned in Creating an Absence Time Type
Time Account Type
- Create Time Account Type by following the relevant configurations mentioned in Time Account Type
- Link the Time Account Type to the 'Time Account Posting Rules' section of the previously created Time Type.
Time Profile
- Create Time Profile by following the relevant configurations mentioned in Time Profile
- Add the Time Type to the 'Available Time Type' section of the Time Profile.
Creation of Time Acccount
- Assign the Time Profile and other Time information fields to the Job Information of the employee(s).
- This will create the Time accounts for the employee(s) (OR in Admin Center -> Manage Time off Calendar run Time Account creation calendar to create the Time Accounts)
Note:
- Do not create recurring or permanent time accounts manually via Manage Data or by using an MDF import/oData upsert. They are created automatically when you assign a time profile to an employee’s job information and also during the account creation calendar run (Admin Center-> Manage Time off Calendar).
- Do not change time account validity of the Recurring type manually or using onSave rules.
- You specify the recurring account creation pattern in the corresponding Time Account Type object and the time accounts are created by the system accordingly. If you touch the validity period manually, the pattern no longer fits the existing time accounts (For example: you changed the time accounts validity to more than 12 months), which would lead to unexpected results during the time account creation process.
FAQ - Additional Information
Q) Is there any way to test if the time accounts will get automatically created when expected? based on the "Account Creation Offset [Months]"?
A) No, you can't check this in advance. If account creation automation setting is enabled, and you set the field to "Account Creation Offset [Months]" to "3" for example, the accounts should get created with an automatic account creation calendar, 3 months before the "Account Valid From" date.
