2163074 - MDF Importing Employee Data in Employee Central

Symptom

This KB article provides an overview of MDF Importing Employee Data in Employee Central

Environment

  • SAP SuccessFactors HXM Suite
  • SAP SuccessFactors Employee Central

Resolution

You can import and export data to and from the client's MDF instance:

  1. Download the correct template for the data and enter data that you want to import. The template contains the structure of the object since it is set up in MDF Object Definition
  2. Upload the data for that object. Both these operations use the same form that is launched
  3. Grant the permission to the role for the MDF Import and Export in Admin Tools > Manage Permission Roles:

To import data, proceed as follows:

  1. On the Administration Tools page, click on Employee Files
  2. Choose Import and Export Data:

  1. On the Import and Export Data page, select Download Template as the action you want to perform:

  1. Select a generic object.
  2. Select Yes from the Include dependencies dropdown if you want the package to be generated as a zip file of all the CSV files corresponding to the parent object and related child objects
  3. A file Import_Sequence.csv is also generated, containing information such as the name of the file and the sequence in which CSV files are to be imported
  4. Otherwise, select No
  5. Click Download
  6. Open the CSV file downloaded and enter the data you want to import for the object and save

  1. In the Import and Export Data page, click the drop down of "
  2. Select the action to perform" and select action "Import Data"
  3. Then the Import Data page would be opened as below:

  1. As you can see from the screenshot above, there are three type of import:
  • CSV File: Import objects with single csv file
  • Zip File: Import objects with a zip file
  • Success Store: Import objects through Success Store (MDF Import - Success Store)
  1. When user selects the radio button of CSV file, there are four options on the page (Date Format is just for customer's information):
  • Select Generic Object: Select the object type which you are going to import
  • File: Click the Choose File button and select the csv file for import
  • File Encoding: Choose the encoding type of your csv file
  • Purge Type: Incremental Load and Full Purge
  1. With Incremental Load, history object instance record with same externalCode in import file would not be cleaned
  2. With Full Purge, all the object record with same externalCode in import file would be purged. After import completed, only the object instance in import file exists
  3. There are two buttons on this page: Validate and Import
  4. If a user clicks Validate, an import job is triggered and you can check the validate result in the monitor job page. There is no DB change for this operation, no matter if the job is completed or failed
  5. If a user clicks Import, an import job is triggered. The user is able to check the import result on the Monitor Job job page
  6. When a user clicks the radio button of Zip file, the page is refreshed to the Zip import page as below:

  1. The only option for zip import is file, which leads the user to select the zip file for import
  2. The import button functionality is the same as in CSV file import
  3. When a user clicks the radio button of the Success Store, the page is be refreshed to the Zip import page as below:

  1. Choose a package to import. The functionality will be the same as import file on the ZIP File tab
  2. You can track status of imports in Admin Tools > Monitor Job

  1. In the Monitor Job page, we can also see the Job Details like: Total: 5/Processed: 5, Passed: 5/Failed: 0
  2. If there are failed steps in the Job Details, we can check the detailed error message in the import result csv file

MDF Export

  1. In the Import and Export Data page, click the drop down of "
  2. Select the action to perform" and select "Export Data"

  1. Click on the drop down of "Select Generic Object" select a generic object you want to export and click Export:

  1. To download the data you have exported, go to Administration Tools > Monitor Job as shown below:

  1. Download the ZIP file:
