2242924 - Manage Templates - Value -1972 or -1971 Appearing for ratings

Symptom

  • The values -1972 or -1971 are appearing for ratings which should be unrated.
  • This KB article explains why you may see the values -1972 or -1971 in your Performance or Compensation forms or in Reports.

Cause

This is the system expected behavior. The -1972 or -1971 values are system default ratings for unrated competencies or objectives;

These values can appear if there is no default rating defined, e.g "unrated" or  "too new to rate", in a Performance Management template.

Also, this would then be reflected as well in compensation or if the default rating is implemented via message key instead, via the performance template.

Resolution

IMPORTANT: these steps will only be helpful if the current status of the template was the same when you launched as these settings are not dynamic. Therefore should this have been set up after launch, it would not have affected live forms.

Configuring the template values

Check if "default rating" and "Unable to rate" are defined in your template by following the steps below.

  1. Admin Centre > Performance Management > Manage Templates;
  2. Open affected template;
  3. Click "Edit Fields and Sections";
  4. Click the affected section (objective or competency) - see screenshots below;
  5. Correct where needed;
  6. Relaunch forms and test again the behavior

For Support Engineers: see the example below on how it would look within the PM template XML configuration:

<default-rating>Select a rating</default-rating>
<unrated-rating>Unable to Rate</unrated-rating>

Given a scale like this:

  • 1.0 Does Not Meet
  • 2.0 Meets
  • 3.0 Exceeds

You will see the following rating scale display on form:

  • Select a rating
  • Unable to Rate
  • 1.0 Does Not Meet
  • 2.0 Meets
  • 3.0 Exceeds 

Note: Live forms cannot be corrected. You must follow the steps provided above to correct the template and relaunch the forms.

System behavior in Reports:

When the form rating is marked as UNRATED or Not Applicable, the rating description field will remain blank in the report. This happens because the system does not assign descriptive text to ratings that have not been formally evaluated. In other words:

  1. UNRATED / Not Applicable Status:
    These values indicate that no valid rating was entered for the subject. Since they are not considered actual rating scale points, no description is associated with them.

  2. Blank Description in Report:
    As a result, the rating description column does not display any value for UNRATED or Not Applicable entries, which is why these fields appear empty in your report.

On the reports the Rating that is stored for these values is shown as -1972 (UNRATED) and -1971 (Not Applicable) as is stored in the database.
