2270670 - How to manually upload Employee Data Files to SFTP Server for scheduled Jobs

Symptom

Steps to manually upload Files to SFTP server for automated jobs.

Environment

SAP SuccessFactors HCM Suite

Resolution

To import files to the SFTP server, ensure you have an SFTP account created for your instance. If you do not have an SFTP account, open a case with SuccessFactors Cloud Product Support under LOD-SF-PLT-FTPS for assistance - review KBA 2187183 - SFTP Account Standards for SAP SuccessFactors.

Supported file formats are .csv and .txt.

  • Download the Employee Import File template via Admin Center-> Employee Export-> Export Template.
  • A third-party tool, such as WinSCP or FileZilla may be chosen to upload the Employee data file to the SFTP server. If you prefer to upload it manually, follow these steps:
  1. Open your web browser and navigate to your SFTP Server URL. Review KBA 2089448 - SuccessFactors Data Center Name, Location, URL, Domain Name, Mail Server details, SFTP details and Outbound IP addresses and locate your DC URL.
  2.   https://sftpx.successfactors.com (replace 'x' with the datacenter location of your instance). For EU datacenters, use https://sftp012.successfactors.eu for DC12 or https://prodftp2.successfactors.eu for DC2.
  3. Enter your SFTP username and password.
  4. Navigate to the Incoming folder (ensure this folder name matches the file path specified in the FTP setup sheet).
  5. Select the Upload option.  
  6. Browse and upload the file (.csv or .txt). Ensure the file format and name match those specified in the FTP setup sheet. For example: CompanyID_EMP_yymmdd.csv. If the file is encrypted, the filename format will be CompanyID_EMP_yymmdd.csv.pgp.

Note that the file size limit is 2GB.

NOTES:

Upload the data file to the SFTP server before the Job running scheduled time. Scheduled times can be hourly, daily, weekly, or monthly.

Jobs may fail due to reasons such as missing files on the SFTP server at the scheduled time, incorrect filenames, or incorrect date formats.

In addition to uploading Employee Import files, you can use the same steps to upload files for other automated jobs, such as Goal Import, Live Profile Import, Import Positions, Batch Upload Employee Photos, etc.

For each job type to be scheduled at the backend, a new case has to be opened under LOD-SF-PLT-JOBS.
