2277719 - Manager receives e-mail for expiration even after the setting is unchecked at the automatic process

The manager is receiving e-mails for courses that are going to expire or are already overdue, even after the setting is unchecked on the Learning Expiration Email Notification Automatic Process (APM).

1. Make sure the Manager setting under the Learning Expiration Email Notification Automatic Process is unchecked >
   
   
   
   
2. Run the Automatic Process >
3. The manager receives an e-mail for expiration for their subordinates that have courses soon to be expiring or are overdue.

The reason why the managers are still receiving the e-mail for their subordinates is because even though the setting has been unchecked at the APM level for the managers not to receive the e-mail, it was checked earlier. Therefore, courses that were created in the system during that timeframe inherited those settings from the APM level. With that, this option still remains enabled at the item level (item's record > Email Notifications tab > Override Learning Expiration Email Notification Defaults section).

The Item level settings will always override the APM level settings.

Therefore, the managers will continue to receive these emails until this option is unchecked from the specific course level.

When the setting is unchecked at the Automatic Process level, any newly created Items will inherit that setting.

Depending on business needs, unchecking the Manager checkbox at the item level might suffice:

1. Log into HCM >
2. Navigate to Learning Administration >
3. At Learning Activities > Items >
4. Search for the Item and access the record >
5. Go to the Email Notifications tab >
6. Uncheck the Manager checkbox under the Override Learning Expiration Email Notification Defaults and click on 'Apply Changes'.

If managers should not be receiving this notification for any Items:

1. Log into HCM >
2. Navigate to Learning Administration >
3. At System Administration > Automatic Processes > Learning Expiration Email Notification >
4. Uncheck the 'Manager' checkbox and click on 'Apply Changes' >
5. Then click on 'Propagate settings to all active items' >
6. The system will throw a warning, saying: "You are about to propagate the Learning Expiration email notification default settings to all active items in the system. Do you wish to proceed?" >
7. To proceed, click on 'Yes' >
8. Schedule the background job and wait for it to be complete >
9. In case the 'Manager' option is already disabled, do and undo any changes (such as enabling the 'Manager' option and disabling it again) > click on 'Apply Changes' > and with steps #5 to 8 above.
