2278826 - SAP SuccessFactors SFTP Account Details

Symptom

  • A SuccessFactors SFTP account is required for import/export of inbound/outbound files
  • Request for new SFTP account creation/password reset (for available SFTP account)

Resolution

Do all new customer implementations require an SFTP account to be created?

  • No, for BizX, SFTP accounts are generally provisioned only on request basis and are predominantly used in ONB/WFA integration.
  • For LMS, Learning contents are uploaded solely via a seperate SFTP called iContent and are required. Two additional Bizx SFTP accounts are automatically created as part of the initial purchase for connector-related activities.

SFTP new account request:

As per SFTP standard, customers are entitled to two BizX SFTP accounts, one for Test and another one for Production. It is recommended that customers/partners make use of the Test SFTP account for all the implementations around Test/Dev/QA environments and use the Production SFTP account for the Production server separately.

  • If an additional BixZ SFTP account is business critical, you would need to create a case with the component LOD-SF-PLT-FTPS and provide detailed business justification which will be reviewed internally.
  • SFTP and iContent support is available for paid demos. One free SFTP and / or iContent account is provided per Data Center, per customer, as long as there is one paid demo in requested Data Center. Requests are only accepted for paid BIZX demos, i.e. with Company ID starting with SFCPART. Requests for accounts with BizX Company ID SFPART, SFPRO, etc., will not be accepted. Only LMS SFTP and / or LMS iContent is provided. BizX SFTP is not provided for Sales demo instances. Product Support, please refer to internal memo.
  • SFTP Passwords do not expire, until the password is reset.
  • SFTP account is appearing as "Invalid" on SFTP  Utility Tool (for Product Support, please review internal memo for information).

 SFTP credentials/password reset:

  • The companyID is not the same thing as SFTP accounts and the SFTPs are not specifically created against a companyID.
  • The SFTP credentials can be shared only via email IDs belonging to the customer domain due to security reasons.
  • The credentials can be shared to one email ID only.
  • Each SFTP account can be accessed only by the one shared credentials. It is not possible to have multiple credentials for the same account.
  • The tool generates an automated password. The Support team does not have any view or control over it.
  • If a customer requests Support to provide Username and Password details of an existing account, please note this isn't possible as Support does not have any view on autogenerated passwords. All passwords generated via tool are encrypted and cannot be retrieved. The only option here is to reset the password.

  Note: 

  • Once the SFTP credentials are reset, you need to update with the new password all the integrations using the SFTP account, otherwise they will fail.
  • For SuccessFactors jobs, you need to edit them and change the SFTP password.
  • For CPI iFlows, you need to undeploy, update the password and then re-deploy. Please refer to the document Configuring the SFTP Receiver Channel | SAP Help Portal.

A) When Customer is reporting:

1. Customer needs to create a case under component LOD-SF-PLT-FTPS requesting Password reset with below details:

  • Company ID
  • Environment (Production/ Preview/ Development)
  • Data Center
  • Customer's email (for Successfactors to send the login/reset credential on. Please note credentials are automatically sent to just one email.) - preferably the Customer IT contact or an email with the customer domain.
  • "[Customer Name] understand that is the customer responsibility to update all the integrations using the SFTP account with the new password after the password reset.”

2. SFTP tool will send the SFTP account login credentials to customer via autogenerated email on provided email id in Step 1.

B) When Partner or Professional Services is reporting on behalf of Customer:

1. Partner needs to create a case under component LOD-SF-PLT-FTPS Password reset with below details:

  • Company ID
  • Environment (Production/ Preview/ Development)
  • Data Center
  • Email (for Successfactors to send the login/reset credential. Please note credentials are automatically sent to just one email) - preferably the Customer IT contact or an email with the customer domain.
  • "[Customer Name] understand that is the customer responsibility to update all the integrations using the SFTP account with the new password after the password reset.”
  • A written email approval from customer and one email id belonging to customer domain to which the credentials will to be shared is mandatory.

2. SFTP tool will send the SFTP account login credentials to customer via autogenerated email on provided email id in Step 1.
