Symptom
How to be notified by the "Purge Expired Library Items" Automatic Process on expiring items?
Environment
SAP SuccessFactors Learning
Reproducing the Issue
- At Learning Administration > System Administration > Automatic Processes > Purge Expired Library Items >
- Schedule the process >
- The Learning admin receives the notification that the job is successful but no items are purged.
Cause
The Purge Expired Library Items automatic process is intended to remove expired items from libraries. This process removes any item that has passed its expiration date from a library.
The Purge Expired Library Items process sends out notifications when it finds an item in a library with an expiration date in the past, or when the expiration date reaches the threshold period configured at the Automatic Process.
This process uses the ExpiredCatalogItemsNotification and PreExpirationNotificationForCatalogItems template IDs to create and send these notifications.
Resolution
In order to be notified whenever an item is close to expiring or has expired, it's necessary to configure the following at the Library level:
- Add an email address on the "Contact's Email" for the library;
- At the items' records > Libraries tab > Add a date on the "Remove from Library on" field.
And at the "Purge Expired Library Items" Automatic Process, it's also possible to configure an email address to receive notifications each time the APM runs.
The Library contact will start receiving notifications once an Item's expiration date reaches the threshold period configured at the APM level.
