2290233 - How to enable Attachments in PM v12 Acceleration - Performance Management

This article intends to explain how to enable attachments in PM v12a forms.

SAP SuccessFactors Performance Management

• Users can attach supportive documentation to their performance review forms in PM v12 Acceleration. For example, enhanced documented support for goals or competencies. Employees can capture additional information and attach to their PM forms
• Enhanced documented support for goals (on PM form) and makes the performance review easier for managers to evaluate goals and competencies.
• Offers ability to capture information within the PM processes that employees might want represented within their performance review.
• This feature is not available in Manage Templates yet. The Attachments are permissioned by role and they can be 'Enabled' and configured with attach action 'Read' or 'Edit'. Permission 'None’ is configured where attachments will not be displayed to the specified user. This is done through xml configuration.
• Supported file formats are:
• .doc
• .docx
• .pdf
• .txt
• .htm
• .ppt
• .pptx
• .xls
• .xlsx
• .gif
• .png
• .jpg
• .jpeg
• .html
• .rtf
• .bmp
• .msg
• .docm
• .tif

This is opt-in feature and it needs to be configured in any PM template before you can start using it in a specific PMv12 Acceleration template.

Options to Consider:

• Requires UI v12 (Revolution)
• Product Editions: Enterprise & SPRAC
• Only available in PMv12 Acceleration
• Requires both, first XML Configuration in PM template and then enabled via Form Template Settings
• Each PM template needs to be configured separately before the feature can be used.
• Customers who do not wish to allow users or raters to attach files to a Performance Review should not enable this feature.

Note: in order to make changes in the XML, please contact your Implementation Partner. If you don't have a Partner, you can find for SAP Certified Partners via the SAP Partner Finder or, alternatively, speak with your Account Executive or Customer Engagement Executive about Professional Services options. 

Possible settings are:

For attachment-permission:

• None: Attachments will not be displayed to the user.
• Enabled: Enable read/edit actions.

For attach-action:

• Read: Show all attachments, add icon for adding own attachments and rename/edit own attachments.
• Edit: Include all read operations, delete and rename/edit all attachments.

Following sample behavior when configured:

1. If role is given 'None' permission for both 'read' and 'edit' attach-action - Users will not be able to see attachments or ADD attachments. 
2. If role is given 'Enabled' permission for 'read' and 'None' for 'edit' attach-action - Users will be able to see already existing attachments. Also user will be able to ADD new attachments and edit only their own attachments.

Note: check first if the Attachment Manager is enabled in Provisioning.

Upon confirmation that the Attachment Manager is enabled and PM template is configured, enable the option below through Admin Center:

1. In the Tool Search enter "Form Template Settings"
2. Click on the specific template name you want to enable the attachment feature
3. Enable the checkbox for “Enable attachment” and save

How to add Attachments

1. The user (Manager or Employee) to click on ‘Supporting’ Pod (Note below are just examples).
   
   
2. Click on the Supporting Pod to navigate to the Attachments section. User can click on the plus icon to launch the Add Attachment window.
   
   
   
   
3. Browse for the attachment, and click on “Upload” to add the attachment.
   
   

NOTE: You cannot restrict the attachment permission to specific steps.
