How do I turn it on the new routing tool?

  • The new routing tool replaces the existing Admin Tools "Route Documents" feature in admin.
  • All customers who have access to this feature will get the updated route documents tool.

How do I get the new route documents tool in Admin Center?

  • You will first have to give the user permission.
  • You can do so by enabling the “Route Document” permission.

Below is an example in RBP:

How can I select the forms I want to route?

You can select a form or set of forms using the form ID, form template, employees folder and subject user search filters.

Document ID (Form ID)

Searching by Document ID allows a user to select a single document by Document ID.

Employee's Folder

Searching by Employee’s Folder allows a user to select a single document from a user’s inbox.

Subject User

Searching by Subject User allows a user to select a single document where the user is the subject of the form.

Form Template

Search by Form Template will allow the user to select single or multiple forms based on the form template attributes and batch_id.

  1. First select the form template:

  1. Then select the group of forms.

Group of forms without batch_id

  • Some forms are not eligible to be updated within a group because they do not have a batch_id.
  • Since we cannot guarantee they have the same route map as other forms, these forms are only eligible to be updated individually.
  • Forms within this group may have been created prior to the introduction of the batch_id or was updated individually through this tool.
  • These forms can be selected through the option “Forms created or updated individually”.

Group of forms with the same batch_id

  • Forms with the same batch_id can be selected as a group.
  • The user can select multiple forms within this batch (since we can guarantee “like” route map configurations”).

  1. Select the documents to route.
  2. The admin can filter by form attributes, user attributes and route map current step.

How do you move a form or set of forms one step forward or backward?

  • You can move forms one step forward by selecting the radio option “Move the form one step forward”.
  • You also have the option to select whether or not you’re moving the form on behalf of the user or to move the process along.

  • You can move forms one step backwards by selecting the radio option “Move the form one step backward”.
  • You also have the option to select whether or not you’re moving the form on behalf of the user or to move the process along.

How do you move a form or set of forms to a specific step?

Select the "Move the form to a specific step" option. All forms will be routed to this specific step.

How do I route a form or set of forms to a new step?

  1. Select the “Move to a new step” option.
  2. Input a new step name and choose the modification/signature type.
  3. Once the type is selected, select a role.
  4. The visual route map will display where the new step will be inserted.

How do I know the route was performed successfully?

  • For groups of forms under 100, the system will process the route real-time.
  • You will see a confirmation screen as followed:

  • For groups of forms over 100, the system will process the route asynchronously.
  • The administrator will receive an email once the route is complete. (with summary information in the email).
  • Please also note that if one of the routes fail the tool continues to process the remaining documents.
