  4. Go to the Time Profile tab
  5. Under Time Profile section, change the Start Date to the desired date DD1.MM1.YYYY1 and press Enter

Cause

Currently, it is not possible to change the Start Date of the first Time Profile of an Employee. It is defaulted to the beginning of the third month before the system date on which hiring is performed.

Case 1:

When the Employee is hired from the system the Time Profile Start Date is defaulted to the first of third month in the past. If we hire an Employee on 15th February 2016 the Time Profile Start Date would be 1st December 2015. This was done considering the fact that the three months old time recordings would unnecessarily load the system.

For example:

Hiring performed on 15.07.2015

Hiring date is 13.05.2009

Time Profile Start Date is defaulted to 01.05.2015 (beginning of the third month before the system date on which hiring is performed).

The assumption here is that for such past dated hires, Employees shall not be recording time more than three months in past.

Case 2:

In case of fresh hire, the Time agreement is created automatically by the system and it is expected that fresh Employees would not have more than three months old of transactional data.

Case 3:

The Time Profile Start Date cannot be changed from the UI even if the Employee comes in the system through Migration.

If the Time Profile Start Date sent in the Migration file is equal to the Hire Date, the Time Profile Start Date is set as the Hire Date, even if this is more than three months in the past.

If the Time Profile Start Date sent in the Migration file is not equal to the Hire Date, the system defaults this to the first of three months in the past. The system always defaults the Time Profile Start Date to the first of three months in the past if the employee is hired from workcenter Personnel Administration.

The difference here is, during Migration the Time Profile Start Date can be given anything (which will always be equal to the hire date), as per your need and the system will accept an old date as well. But again this cannot be changed from the UI. You can give a date, six months old in the past in the Migration file and the system would accept this.

Resolution

If you have a requirement to change an employees Time Profile Start Date, the only option available is to create a Time Profile split. For example if you intend to start the Time Profile for a future date, you can delimit the current Time Profile and start the new Time Profile from said date. This is done in Time Administratrion -> Employees -> Edit Employee and go to Time Profile facet to edit said Time Profile.

Alternatively, if you have a scenario that differs from any of these suggestions, please create an case providing as many details as possible and SAP Support can check and assist you. Please note that there may not be any other options, but SAP Support can check and inform you of best way forward.
