2299828 - On Releasing the Time entries of the Employee, the Status Changes to Approved

Symptom

Time entries when Released, changes status to Approved instead of Active.

Environment

SAP Business ByDesign

Reproducing the Issue

  1. Go to Time Administration workcenter
  2. Go to Time Recording view
  3. Select Time Sheet subview
  4. Search for the Employee XYZ (where XYZ represents the Employee)
  5. Select Open Time Sheet
  6. In the Time Entry tab, select Add Row and fill the required information (Status shows as Inactive)
  7. Select Save
  8. Select Release->Selected week
  9. Time Entry status shows Approved

Cause

  1. Go to Business Configuration workcenter
  2. Go to Implementation Projects view
  3. Select Edit Project Scope button
  4. Go to Questions section
  5. Expand Human Resources 
  6. Time and Labor Management
  7. Approval
  8. Scoping Question: Would you like your managers to be able to approve or reject their employees' time sheets for <Country> in the solution?

If the scoping question is scoped, then Time Recordings (non-project) created via Time Administration will go to status Approved on release. Release is followed by Approval process and since the creator of the recording is himself approver, the Time Recording is approved at the same time).

If the above question is not scoped, then Time Recordings (non-project) created via Time Administration will go to status "Active" on release. Release is not followed by Approval process.

 

Case 1:

If a Time Administrator himself creates a Time Recording which requires Approval, it is assumed that he also Approved/Active the recording, since he is the Time Administrator in the same process of creating a recording. Hence the status Approved. Therefore, approval relevant recordings would not go to In Approval and will directly go to status Active.

 

Case 2:

Some Time Recordings in the Administrator screen with In Approval status may have been due to that particular Time Recording being done from the ESS Time Sheet and released and when the Time Administrator opened the Time Sheet, the same recording would have appeared as In Approval.

 

Case 3:

When an approval relevant recording, created by an Employee is approved by the Project Manager, the approver is stored as Project Manager in the system.

 

Case 4:

When Time Recording is approved by the Time Administrator, the Approver is stored as Time Administrator. You can see this in Time Administration work center

  1. Go to Time Administration workcenter
  2. Go to Time Recording view
  3. Select Time Sheet subview
  4. Search for the Employee XYZ
  5. Select Open Time Sheet
  6. Select any Time Recording
  7. Approver field shows the Approver in the details section

 

Case 5:

When the Employee Times are migrated into SAP Business ByDesign system, they become Active automatically and does not require any Approval. Therefore, the Time Recordings which are directly Active and without any Approver name are those which came from Legacy system to SAP Business ByDesign system through Migration activity. You may check the Migration File of Time and Labor Management data for the Employees.

Resolution

This is the system behaviour.
