2310661 - Email Notification - Consolidated notifications being sent with generic email subject & body - is it possible to change it?

Symptom

  • Consolidated notifications are sent in one single email with a generic subject “<subject> + (Summary)”. Can we change the subject?
  • Can we specify different email template for each form template instead of a default one?

Notifications of the same type consolidate to one single email when "Consolidate notifications for the same recipient into one single email" is enabled.

Resolution

Email Subject - All form templates share one default email subject

To change the default subject

  • If “Specify different templates for each form” is not enabled, the default email subject can be changed directly.
  • If “Specify different templates for each form” is enabled, please follow the below steps
    1. Untick the “Specify different templates for each form” option and click on 'update settings' located to the right of this option.
      This will allow you to see the true default subject (it will still keep the template specific notifications in memory)
    2. Edit the default subject that should appear for the consolidated email.
    3. Re-enable the “Specify different templates for each form” option.
    4. The emails should start reflecting the updated default subject.

Note:

  1. The token [[DOC_TITLE]] won't be effective in consolidated email. 
  2. the subject of the email in consolidate notifications always has the word "Summary" appended in it and this cannot be changed. For Performance Management notifications, the subject will be  "<default subject> + (Summary)", as per KBA 2481052.
  3. For 360 Document Evaluation Notification, the subject will be "Summary of 360 Evaluation Emails".

Email Body - Each form template can have a specific email body

  • If Specify Different Template for Each Form is not enabled, the system will apply the default email body.
  • If Specify Different Template for Each Form is enabled and a specific body has been set, the system will apply the specific email body as per the form template.
    (The default email body can be changed in the same way as the default email subject.)

Note: If the notification setting is changed during form routing and email delivery, the system will apply the setting when the form was sent to next step.

How locales of consolidated mails are determined

  1. The locale of the subject will be the user's default locale at the time of receiving the email.
  2. The locale of the body is determined by the user's default locale at the time the action occurs (e.g. form creation, form routing, etc.).
    * The email body finished composing at the time the action occurs (e.g. form creation, form routing and so on). Then it is sent to the user after the provisioning job is triggered. Therefore, even if the user's locale is changed later, the email body will reflect the user's locale at that time.

For example, user A’s default locale was Japanese when the form was created. Later, user A’s default locale was changed to English. As a result, user A received consolidation mail in in below locales:

  • Subject : default mail subject in English locale + Summary
    **User's default locale at the time of receiving the email, in this case, user A's default locale was changed from Japanese to English.
  • Body: in Japanese locale
    **The email body finished composing at the time when form was created. At that time, user A's default locale was still Japanese.
