The aim is to centralize some of the more frequently encountered implementation issues and to provide guidance in order to avoid unnecessary delays to an Implementation.

Data Retention Time Management (DRTM) SuccessFactors new data purge solution for Data Protection and Privacy now provides a master data purge of inactive users. The master data purge permanently and irreversibly removes inactive users and employment from your instance, along with their associated data from across the HCM Suite, including audit log data

This KBA is intended to assist with setup of the DRTM Tool for non EC Enabled Instances. Also reference SAP Help Guide.

LMS enabled checks – 

(1) User and admin in LMS
(2) The Admin should have following workflow permission in LMS.
View User - to view the report
Delete User – to delete user

Note: It is recommended that you use the new DRTM Master Purge as outlined above.

Purging and re-using Usernames and UserID’sData Retention Management lets you purge obsolete data and inactive users from SuccessFactors, which removes them from the system. Data Retention Management soft purges the user if you wish to remove the user completely from the system to re-user the username/userid you must also permentantly purge the user.

DRM with LMS integrationWith integrated learning (LMS) the following rules need to be followed or the request will fail :
-          User creating purge request must a have matching user in LMS (same username as the userID in bizx)
-          Matching user in LMS needs to have full administrator rights.
If these conditions are not fulfilled the purge creation request will fail and will show as failed with no approvals.

Encoding, working on CSV files with Excel

- Issues caused by encoding mismatches during import and how to fix.
- Microsoft Excel behavior.
- Duplicated users due to leading zeros in USERID

You may run into issues with garbled / corrupted characters after importing data into SuccessFactors.
This could be due to encoding mismatches during any step at the import stage, and also commonly related to the use of Microsoft Excel to work on csv files.
