Symptom
Can the Document Links be utilized to redirect to iContent files?
Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental.
Environment
SAP SuccessFactors Learning
Reproducing the Issue
- Access Learning Administration >
- Go to "Content Objects" and select one >
- On "Launch Method" tab, copy the Content URL >
- Go to "Document Links" and select an existing or create a new one >
- On "File Path", paste the content URL >
- While some users can access it, others receive the message "This learning item is not assigned to you or associated to your Library"
Resolution
Although the "Content URL" of a content object can be added to the "File Path" field of a Document Link, in order to access the iContent, the user must be assigned to it. Therefore, if the user is assigned to the Content Object through any item in their Learning Plan, they will be able to launch the content through a Document Link, but if they don't have access to the iContent though a Content Object, linked to an Item, they will see the errror "This learning item is not assigned to you or associated to your Library"
The recommended practice for using the Document Link funcionality is to add the complete URL of the document and not the iContent URL. For example, it could have the value as "http://www.pdf995.com/samples/pdf.pdf"(a test PDF link in the open internet) - this should be external URL - and if you are populating it with an iContent URL, then the user should have access to it (the content should be created as Content Object, linked to an Item and should be assigned to the user account, which is not the standard and supported way of allowing access to a document).
The best way to configure this functionality is by uploading the documents in your servers (your Intranet or SFTP or a portal that is open to your employees within the company network from where you could access documents directly) and update the File Path with that URL. This is the way the Documents are used with the Items or Classes.
- Another alternative could be requesting that the documents are hosted on a SuccessFactors Server, that way, you can utilize the URL provided to configure the File Path of Document Links
