Symptom

Currently, the Route Form tool has the following capabilities:

  • Provides a facility to search for forms based on a variety of search criteria such as Form ID or Form Template to select which forms to route.
  • Mass routing is supported only for forms belonging to a group and if forms fall out of groups, there is no easy way to route the forms in bulk. At best it’s limited to one template at a time:

Resolution

After 1605 release, the Route Form tool has been enhanced to support mass routing of forms with a .CSV upload feature. Route Form now has a new option in the Search for Forms step to upload a CSV file that contains various FormIDs. The tool supports FormIDs from different templates.

This allows you the flexibility to select and perform actions on a group of forms across multiple templates. The CSV file can contain a list of form IDs without column headers

How to Mass Route using .CSV file:

  1. Save the CSV file with all form IDs you want to mass route. The CSV file can contain a list of form IDs without column headers. Here is a sample file with form IDs.

  1. Go to Admin Center, Route Form tool

  2. Select Upload CSV File as shown in the following screenshot

  1. Browse and open the CSV file

  2. On confirming the file upload, all valid forms will be listed for selection.

  1. You can perform the following routing actions on selected forms:
    1. Move the form one step forward
    2. Move the form one step back
    3. Move the form to completion

  1. After confirming the action, all selected forms are routed to the selected step immediately. However, if the number of forms exceeds 300, the Job Scheduler will be triggered for automatic processing instead. A link to monitor the job is displayed in the summary page.
  2. The summary page displays information about routed forms along with a status message.

Important Notes:

  1. There is no higher limit set in the number of forms to be routed, but as a general recommendation, you should limit the payload to no more than 50,000 records in a single upload for better results;
  2. Any number below 300, will be processed immediately. Automatic processing by Job Scheduler when data volume is greater than 300 records. A link to monitor the job is displayed in the summary page;
  3. Currently you can mass-route forms only one step forward or one step back;
  4. The new .csv file format includes a single column for Form ID. Form IDs can come from different templates.
  5. When using the "Upload CSV File" option, the system will not reevaluate the route map users. If the step owner is invalid the form may fail to route.
