2344117 - Employee Not Visible in Direct Approver List

You want to assign the user ABC as Direct Approver for Shopping cart/Purchase request/Purchase order/Supplier invoice/Request for quotation/Purchasing contract approvals, however the user is not available in the list of Direct approvers.

SAP Business ByDesign

1. Go to the Application and User Management work center
2. Go to the View Task Distribution & Select Approval Process
3. Go to the respective Approval Process
4. Copy the existing approval process and navigate to  step
5. Select Work Distribution as Direct Approvers and Edit
6. Search for user ABC
7. No records found

Cause 1:The user is not assigned to below work center view :

Shopping carts: MMA_MYBUDGET & MMA_MYTEAM

Purchase request: MMA_OPERATIONALPURCHASING

Supplier invoice: MMA_SUPPLIERINVOICING

Request for quotation/Purchasing contract:MMA_STRATEGICPURCHASING

Project purchase request:PRO_EXPENSESANDPURCHASES

Cause 2: The user does not have Read & Write Access for above work center views.

Cause 3:The "Validity From/To" date is incorrectly maintained.

This issue can happen when you terminate/rehire a user and even though you maintain the dates correctly in personnel administration, later it is not updated in the Business Users view under Application and User Management work center.

Solution 1:

You can assign the access rights to the employee ABC with following steps:

1. Go to the Application & User Management Work Center
2. Select Business Users View
3. Search for employee ABC and Select it
4. Press button Edit & Access Rights
5. Navigate to Work Centers and Views Assignment tab
6. Search for respective view given in Cause 1
7. Check mark it and Save & Close

Solution 2:

1. Go to Application and User Management Work Center
2. Select Business Users View
3. Search for employee ABC and Select it
4. Press button Edit & Access Rights
5. Navigate to Access Restrictions Tab
6. Search for respective view given in Cause 1
7. Change the Read Access and Write Access to Unrestricted
8. Select Save

Solution 3:

1. Go to Application and User Management Work Center
2. Select Business Users View
3. Search for employee ABC and Select it
4. Under General data tab
5. Correct the dates such that they are valid currently
