2352052 - Item being removed from the users' learning plan

Symptom

  • After assigned, an item is being removed from the user's learning plan.
  • In the User Learning Plan Audit report, it's shown that the Curriculum/Program Maintenance automatic process (APM) is removing the item (APM_QUAL_CLEANUP).

Reproducing the Issue

  2. After the Curriculum/Program Maintenance APM runs, the item may be removed from the user's learning plan.

Cause

  • This automatic process removes items from users if there is a more recent revision of that item, and both are listed in the user's learning plan. The automatic process is designed to work with items assigned through programs or curricula.
  • There is a checkbox in the Curriculum/Program Maintenance APM page named "Include assigned Items not in a Curriculum or Program". Enabling the checkbox allows the APM to remove free-floating items as well.
  • The Curriculum/Program Maintenance automatic process removes the relationship between an earlier revision of an item and the related curriculum or program. When the Curriculum/Program Maintenance finds the following conditions, it removes the earlier revision of the item:
    • Two or more revisions of a same item are related to the same curriculum/program.
    • The two or more revisions of the same item are both effective (have an effective date before today's date).
    • Two or more revisions of the same item are assigned to a user.

Resolution

  • Assign only the more recent revision of the item to the user instead of the old revision. Sometimes the old revision may not be active, and the item search will need to look for items that are not active as well;
  • Alternatively, if this item was assigned without a curriculum or program and the user should complete the older revision, the option "Include assigned Items not in a Curriculum or Program" can be unchecked in the APM configuration page.
