2362705 - Access Restriction For Client-Side Outlook Synchronization

Symptom

This document describes how you can set up access restriction for Outlook Integration in your system.

Environment

SAP Hybris Cloud for Customer

Resolution

To set up access restriction for Outlook Integration in your system log into the Fiori UI and follow these below steps:

  1. Go to the Administrator work center.
  2. Go to the Business Roles view.
  3. You can Add a new Business Role or edit an existing one (for the users that you want to apply).
  4. Then go to Fields & Actions tab (click on View All).
  5. Under Business Action Restrictions, you should Add the Rows and specify if you want that particular action to be disabled or be unrestricted. See the table below.
  6. Save the Business Role.
GW_ACC_CREATE Unrestricted Access: User shall be able to create account from within Outlook and associate a contact to this account and sync it back to C4C.
Disabled: User Shall not be allowed to create Account from within Outlook.
GW_APPT_ATTACH Unrestricted: Appointments with and without Attachments can be synced from Outlook to C4C.
Disabled: Appointments with Attachments cannot be synced from Outlook to C4C.
GW_APPT_DOWNLOAD Unrestricted: Appointments can be downloaded from C4C to Outlook Calendar.
Disabled: Appointments cannot be downloaded from C4C to Outlook Calendar.
GW_APPT_UPLOAD Unrestricted: Appointments can be created and updated in Outlook and synced back to C4C.
Disabled: Appointments cannot be created and updated in Outlook and synced back to C4C.
GW_CON_CREATE Unrestricted: Contact can be created from Outlook (both add contact and the Plus sign in side car) and can be synced to C4C.
Disabled: SAP Cloud for Customer Contact creation from Outlook not possible.
GW_CON_SYNC_HOME Unrestricted: Home phone and Home Address for the contact can be edited on the Outlook side/C4C side and synced back and forth.
Disabled: Contact edit to and from Outlook/C4C shall not be possible.
GW_EMAIL_ATTACH Unrestricted: Emails which include attachments can be synced from Outlook to C4C. Emails without any attachment should also be synced.
Disabled: Emails which include attachments can be synced from Outlook to C4C. Emails without any attachment should  be synced.
GW_EMAIL_UPLOAD Unrestricted: Emails should be synced from Outlook to C4C.
Disabled: No email shall be synced to C4C from Outlook.
GW_TASK_ATTACH Unrestricted: Task with attachments can be synced from and to Outlook/C4C. Tasks will be synched with attachments.
Disabled: Task with attachments can be synced from and to Outlook/C4C. Tasks will be synched without attachments.
GW_TASK_DOWNLOAD Unrestricted: Tasks can be downloaded from C4C to Outlook.
Disabled: Tasks cannot be downloaded from C4C to Outlook.
GW_TASK_UPLOAD Unrestricted: Task can be uploaded from Outlook to C4C.
Disabled: Task cannot be uploaded from Outlook to C4C.
GW_VER_CHK_STARTUP Unrestricted: When user is logging to the C4C app in outlook he will be prompted for newer version in case he is on an older version.
Disabled: When user is logging to the C4C app in Outlook he will not be prompted for newer version in case he is on an older version.

It is recommended that every restriction should be tested. By changing the access rights every time and saving the business role. Thereafter re-logging into the outlook and verifying.
