Symptom
Description: The Workflow Initiator is able to edit fields that they did not originally have access to, when workflow is sent back by an Approver
Example: When a manager initially submits a workflow, he/she does not have permission to update Organizational Information. However, when a step approver sends the Workflow back for the Initiator to "Update" (via the Send Back option), the Initiator can now edit the fields they are only permission to "view" in the UI
Environment
- SAP SuccessFactors HXM Suite
- SAP SuccessFactors Employee Central - Workflows
Cause
This is expected behaviour, based on the configuration of the Workflow Approvers "Respect RBP" settings in the Workflow configuration
Resolution
Expected Behaviour Scenarios:
- If all of the Approver/CC/Contributor steps are defined with "Respect RBP" = NO, then the Initiator by default will have "Respect RBP" = NO if the Workflow is Sent Back for edits
- If one of Approver roles is set to "Respect RBP" = YES, and Initiator is not one of these Approvers, then Initiator will get "Respect RBP" = YES if the Workflow is Sent Back for edits
- If the Initiator is also an Approver/CC/Contributor and the "Respect RBP" set to NO for their step in the Workflow. then the Initiator will get "Respect RBP" = NO
Resolution:
If you want to ensure that the Initiator continues to Respect RBP if the workflow is sent back for edits, they you need to use the "Respect RBP = YES" on all steps that can send back for edits. This would be needed if the "Edit Transaction" is set to "No Edits" or all Approvers cannot make in-flight edits, or if In-Flight edits are not supported (in cases such as Time Off and Position Management).
Note:
Role Based Permissions are not supported for the following:
- New Hire/Rehire
- Global Assignment
- Concurrent Employment
- Pension Payout
- Dependents
- Work Permit
- Workflow Foundation Object
