2392094 - Re-activate a Purged User Via Employee Import Feature

Symptom

  • How do you re-activate a purged user via employee import?
  • Is it possible to re-active purged users after using the permanent purge feature? 
  • Is it possible to re-activate user after been purged using the DRTM Master Purge?
  • Can we reactivate the external user?

Reproducing the Issue

Cause

Resolution

  • Its is possible to re-activate purged users which have been soft purged using the legacy purge inactive user Data Retention Management Purge or Data Retention Time Management Purge. A Soft purge is when the user is still existing at the Database level. More details on Soft Purging users using old legacy purge see KBA 2088065 - Data Retention Management - Purge Data - Platform
  • You cannot re-active users who have been permanently purged using the permanent purge feature see KBA 2392076 - User Permanent Purge feature

 Note: Please Export and back up  your Employee export file or UDF file into Your Desktop (Will Be used as a Backup) before any Purge action ( Soft  or Hard )

How To re-activate a purged user you must do the following:

  1. Navigate to Admin Center > Import Employee Data
  2. Select the action you want to perform: Import data
  3. click on : more options button
  4. Select "Re-activate purged users" from the more options button.
  5. Select "Process inactve Employees".
  6. Choose your import file with the user details (the same userid as what was soft purged must be used otherwise a new user will be created instead of reactivating the soft purged user)

  1. Submit the job, the purged user will be re-activated.
  2. When a purged user is re-activated, the user is restored with the same userID as before they were purged. No other employee data will be re-activated.
  3. Update the re-activated user to "Active" as they will be re-activated by default to "inactive"

📌 Note:  If you require a report of soft purged users in the system please contact Product Support who can run a script to extract a list of soft purged users from the system.

Q) Can I restore User Data after User purge Reactivation?

A) It is not possible to restore employee data. You will need to re enter any employee data manually or via import. When a purged user is re-activated, the user is restored with the same userID as before they were purged. No other employee data will be restored. Customer needs to input the username in the csv file if they want the username as we do not keep this data on the application side.

📌 Note: We highly recommend to run a report to backup all records before purging any user: An example would be an > "Adhoc Report" report > Select  sub domain: Person and Employment Export

Q) Can we reactivate the external user?

A)  External user cannot be reactivated via Employee Import.  ( 📌 Note: Kindly reach out to specific module team on this regard )
