2416214 - Launch Form with Groups "Dynamic Group", "Shared Group" and "Find Employees by filters" - Performance Management

Symptom

  • In the Launch Forms tool, what are the options to launch forms to a group of employees using dynamic filters?
  • What is the difference between the options Select Employees > Group of Employees:
    • Dynamic Group
    • Shared Group
    • Find Employees by filters

Resolution

There are 4 methods to define/select a group of employees. This can be done via Admin Center > Launch Forms tool:

  • Launch form via "Dynamic Group" (My Groups)
  • Launch form via "Shared Group" (Employee Groups)
  • By uploading CSV file (refer to KBA 2350888)
  • Find employees by filters

Launch form via Dynamic Group (My Groups)

  • From the Select Employees menu in Launch Forms, select Dynamic Group.
  • You will have the option to choose an existing group or create a new group.
  • If choosing an existing group, you can edit, copy or delete the group.

  • The groups can be created or edited from the Launch Forms tool.
  • Groups can be defined to include users from several categories and individual users, groups can be further refined by excluding users from the group.

  • The Dynamic group, (also known as My Groups) is a feature that allows users to create their own people based group definitions which can be used in several locations in the application.
  • These groups cannot be shared.
  • To manage groups, from the account navigation menu (top right corner) select OptionsGroups

Note: The "Dynamic Groups V2 (My Groups)" feature must be enabled in provisioning. (Contact your implementation partner for assistance.)

Launch form via "Shared Group"

  • From the Select Employees menu in Launch Forms, select Shared Group.
  • Select a group from the dropdown list.

The shared group, also known as Employee Groups, is a shareable group feature. 

  • Groups are shareable. They can be created by one user (e.g. PM Admin) and used by another user (e.g. Comp Admin).
  • Shared Groups are maintained in the admin tool Manage Employee Groups.
  • Groups may include inactive users.
  • To display "Shared Group" option in Launch Forms tool, the option "Enable Shared Groups for Inbox and Launch Forms" needs to be turned on via Provisioning>Company Settings.

Launch form via "Find employees by filters"

  • From the Select Employees menu in Launch Forms, select Find employees by filters.
  • Select the employees by using filters.

Note:  By default, the available filters are Department, Division, Location and Job Code. To add custom fields as filters, refer to the steps in KBA 2632183. The supported fields are EP fields “custom01” to “custom15”.
