Symptom

You are unable to change the G/L Account Type due to below error message.

Acct XYZ in CoA ABC Cannot be Deleted/Changed; Transaction Data Exists

(Here XYZ refers to G/L account) (ABC referes to Chart of Accounts)

Environment

SAP Business ByDesign.

Reproducing the Issue

  1. Go to the Business Configuration work center.
  2. Go to the Implementation Projects view.
  3. Select the project and open activity list.
  4. Open activity Charts of Accounts, Financial Reporting Structures, Account Determination.
  5. Click link Edit chart of accounts.
  6. Select a G/L Account in question and go to the view G/L Account Type and change the required G/L Account Type.
  7. Choose Save button and below error occurs:

Cause

The error is due to you cannot change the account type for a G/L account if the account is posted. An account is unposted if no postings were made to it or if all postings have been reversed.

Resolution

You need to reverse all posting by checking the below report.

  1. Open the General Ledger work center.
  2. Navigate to General Ledger Accounts view.
  3. Enter a Company and Set of Books.
  4. Enter the respective G/L Account and click on Go.
  5. Select the G/L Account and click on View Line Items.

Important Note: If the G/L Account postings are items coming from Manual Journal Entry Vouchers of
type 00047 - Manual Posting - Journal Entry Voucher, you will not experience this error. The system will allow you to change the G/L account type. 00047 - Manual Posting - Journal Entry Voucher is therefore exempt from this transaction data error.
