2433157 - How to troubleshoot job data and job posting issues in RMK - Instructions for Partners - Recruiting Marketing

Symptom

If jobs are not imported into RMK via Real Time Job Sync, this will create issues for a number of workflows. The main ones being:

The job will not appear on the RMK career site (not applicable to UDM implementations)
The URL builder function will not work for this externally posted requisition and the user will be sent back to the home page of Bizx (still applicable for UDM)

If incorrect data is shown or if data is missing in the job descriptions on the career site this would impact job findability and candidate experience

Implementation Partners have access to some tools to troubleshoot these issues and address the cause.

Resolution

There are three main sources of information to troubleshoot such issues which are only available to partners:

  1. For posting issues : Command Center / Process logs 
  2. For posting issues : Provisioning / monitor jobs
  3. For job data issues : Command Center / Job export logs 

1 . In the process logs:  Command Center > additional options > Export Automated Process Logs

We might see errors which might help us determine why the sync might have failed, thus explaining why the job was not imported into RMK.
Export Automated Process Logs will show you the Fullfeed and Update feed events as well as the recruiter sync events and errors if any are encountered.
The ‘Export Automated Process Logs has a 2 day range but fullfeed and recruiter sync should run daily and update feed all day so start with the last 2 days and see what you see.
Download the CSV file and compare to check if there’s an Import Jobs – ATS fullfeed event associated to the job completing in Provisioning.
The ‘Export Jobs to CSV’ will show you the Jobs that are currenty active (you can toggle this to show inactive Jobs) in the Database with the associated job data.
It has a 2 weeks max range. We must therefore set a date range based on the RCM posting date to see if we can see the req which should have been added on that date.
Once you set your range, export and download the CSV file (note you cannot have 2 versions of the same file open at the same time as they will have the same name (based on site ID) 

2. In the Job export logs : Command Center > additional options > Export Jobs To CSV

Export Jobs To CSV allows you to download job data as is found in the RMK Database so to check if a job is present in the database and what data we have for it. 
This tool will only show you the Jobs which were last modified for the selected date range (15 days max).

3. In Provisioning > Manage Scheduled Jobs

Type should be ‘sync all external jobs postings’
This job should be scheduled to execute one a day, preferably not during customer’s core business hours
It should NOT be scheduled to execute hourly as this WILL cause issues in the job processing on the RMK side.
Check if the job is successfully executing in Provisioning > Monitor Jobs (look out for usual errors such as inactive users)
Note the fullfeed can be manually run (execute now) if it was stuck for some time to true up the job count or if a change was made in the config (field mapping change, repointing to a different instance...)
Note the update feed (type: ‘Sync ATS Job Posts with RMK System’ is automatically created and will run everytime there is an update in RCM and also straight after the fullfeed runs.
