2464855 - HRIS Sync stopped working for certain mappings after MDF Picklist Migration

Symptom

After the Legacy Picklists have been migrated to MDF Picklists, certain HRIS Sync mappings stopped working (for elements such as emailInfo, phoneInfo, homeAddress).

Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental.

Reproducing the Issue

This can only potentially after Legacy Picklists are migrated to MDF Picklists

Cause

The "Non-unique External Code" field was empty for each of the picklist values. For example the ecEmailType picklist was migrated but the "Non-unique External Code" value for each of the email types was not -:

This "Non-unique External Code" value is the legacy "external_code" which is used in the HRIS Sync Mapping configuration to identify which Email Type value is synchronized to Employee Profile > email field. Example EC HRIS Sync Mapping configuration -:

Resolution

The issue is easily resolved. You will need to add the correct value to the "Non-unique External Code" field. Normally this is the "External Code" value. But, if you are not sure, for Employee Central related picklists, the legacy picklists "external_code" should be set here. You can download the EC Master Picklists (legacy) file to verify the the "Non-unique External Code" value. Make sure to check and correct ALL picklists that are used by Employee Central, which were migrated from Legacy to MDF.

You can correct the MDF Picklist either using the UI or on mass via Import.

Correcting using the UI

Navigate to Admin Center > Manage Picklist
Search for the related picklist in question
Edit the picklist
Copy the "External Code" value to the "Non-unique External Code" field, for all picklist values
Save the Picklist

Correcting using Imports

Navigate to Admin Center > Import and Export Data
Select the action to perform > "Export Data" and Select Generic Object "Picklist-Values"
Navigate to Monitor Job and download the export file.
Make a copy of the export file and keep it as a backup
Open the exported file in Excel or OpenOffice
Remove all of the rows for picklists that you do not wish to update
Add the missing value to the "Non-unique External Code" field

Either by copying the values from column "External Code" to "Non-unique External Code"
Comparing and correcting the values based on the values in the legacy EC Master Picklist (you can download the EC Master Picklists)

Save the file to your Desktop
Navigate to Admin Center > Import and Export Data
Select the action to perform > "Import Data" and Select Generic Object "Picklist-Values"
Choose the File.
Set "Purge Type" to "Incremental Load" and click "Import"

Full HRIS Sync must be run

Finally, you will need to have a Full HRIS Sync job run on the instance to correct the data in Employee Profile. Please do open a Support case for this request, unless you have access to Provisioning.
