2470585 - Acquisition Costs Posted After Deactivation Date in the Fixed Asset

Symptom

A Manual Posting - Partial Transfer of Individual Material is posted for the complete amount of Fixed Asset XYZ using the option Relating To = 2 - Previous Years for Set of Books ABC. (XYZ represents the Fixed Asset ID, ABC represents the Set of Books ID)

Despite the presence of the deactivation date, acquisition postings with a posting date on or after the deactivation date are still accepted by the system.

Environment

Reproducing the Issue

  1. Go to Fixed Assets work center and Fixed Assets view.
  2. Filter for All Fixed Assets, find XYZ and select it.
  3. Press Edit, then select Master Data from the dropdown.
  4. Navigate to the Life Cycle Data sub-tab.
  5. Note that Deactivation Date is already set as DD-MM-YYYY for Set of Books ABC.
  6. Navigate to Values tab and select Set of Book ABC line under Valuation Values per Set of Books.
  7. Navigate to Journal sub-tab.
At least one acquisition was posted to the Fixed Asset on or after the deactivation date.

Cause

The complete transfer was performed using Partial Transfer of Fixed Asset for the full amount with Relating To = 2 - Previous Years for Set of Books ABC.

As a result, the posting was created only for Set of Books ABC. Consequently, the Deactivation Date and Last Retirement Date were set only for Set of Books ABC and not for the other set of books.

As the Individual Material itself did not obtain the status Retired, subsequent acquisitions and other follow-up postings continued to be accepted for the fixed asset.

Resolution

  1. When using Manual Posting - Partial Transfer of Individual Material then it is expected that the amount is not for the complete book value.
  2. When using Manual Posting - Complete Transfer of Individual Material then it is expected that the amount is for complete book value.

When the first option is selected with complete amount, it has to be done for both set of books. If the posting is created for only one set of books, the Individual Material does not obtain the status Retired, resulting in subsequent acquisition postings being allowed for the Fixed Asset.

When the second option is selected, all relevant sets of books are considered by the system by default. As a result, the status of the Individual Material is updated to Retired, after which no further acquisition postings are allowed for the Fixed Asset.
