Environment

SAP SuccessFactors Employee Central - Company Structure Overview

Resolution

  • Company Structure Overview enables organizations to specify how the various hierarchies and entities relate to each other. These entities can be various MDF objects (e.g. Business Unit, Division, Department, Cost Center) and their relationships. 
  • Users can initiate transactions directly from the Organizational Structure, such as editing a Business Unit or performing an action for an employee.
  • You can configure the company structure overview to display your entire organizational framework in a chart format.

Procedure:

  1. Activate the function in the Admin Center.
  2. Set the permissions that determine which users are allowed to view and edit the structure.
  3. Enter all the details of your company structure.
  4. Customize how the UI of the structure will be displayed.

Enabling the feature:

Prerequisites:

You have been assigned the necessary permission to access Manage Employee Central Settings in the Admin Center.

Procedure:

  1. In the Admin Center for your company, choose Manage Employee Central Settings.
  2. In the list of functions, scroll down to Company Structure Overview.
  3. Select Company Structure Overview and save.

 

Permissions for the Company Structure Overview:

Note:

  • The Company Structure Definition is also secured by RBPs, so you can specify which users can edit and view it. For example, some users might have access to a "Business View" and a "Finance View" while other users have access to only one of them. Make sure also that the Secured field is set to Yes in the object definition for the Company Structure Definition.

  • Any role-based permissions (RBPs) the user has for MDF objects are taken into account as they view the company structure overview. Access restrictions and RBPs are considered for objects like departments, but also for things like fields and associations.For more information, please see the guide Implementing the Metadata Framework (MDF) on SAP Help Portal at https://help.sap.com.

Granting Permissions:

  1. Navigate to Admin Center > Manage Permission Roles
  2. Select the Role you wish to grant the permission for..
  3. Edit > Add Permissions 
  4. Administrator Permissions > Company Structure Overview
  5. Grant the Required Permissions

 

You will also need to assign permissions to the objects. Ensure that View permissions are granted to all users utilizing the feature, and additionally, grant Edit and Import/Export permissions for Admin users.

Building Your Company Structure Overview:

Create your company structure overview to specify how the various hierarchies and entities relate to each other.

  1. Navigate to Admin Center > Manage Data > Create New and Select "Company Structure Definition"
  2. Enter a unique Code and Name.
  3. Add 1 item (the structure to follow) 
  4. In the example below, we have defined relationship between Business Unit and Division.

NOTE:

  • Target Object = The Code of the Object you want to filter on
  • Relationship Name = The Name of the Association defined on the Target Object
  • Source Object = The Code of the Object which the Relationship Name points to

In our above example, the Target Object "Division" has a "Valid When" association "cust_toBusinessUnit" to the Source Object "BusinessUnit".

As you add entities, please keep in mind that:

  • Only MDF objects are supported.
  • Only fields and valid-when relationships are supported.

You can also configure the "Relationship Type" to "Field".

For example if the Department object has a custom field defined as Generic Object > LegalEntity (example field name - cust_LegalEntity) you can also create the Structure from this type of association. In that scenario, the "Relationship Name" would be the name of the LegalEntity field on the Department object. The Source and Target values would remain the same.

Accessing the Company Structure Overview:

Navigate the organization chart to explore your company structure overview.

  1. Go to Company Info > Company Structure Overview, and select the relevant company structure.

    You see a dropdown list with all the object types that have been defined for that particular company structure.

  2. Select an object type and then an instance of that object type, or select one of your existing favorites. You can save the structure loaded as the root for the structure you are looking at as a favorite. To do this, click the star to the right of the search fields. You can add up to 10 favorites. You can also display a dropdown list of existing favorites by clicking the star at the top right of the display.
    The chart appears, loaded with all the relevant data. Users only see data for which they have the relevant role-based permission (RBP). A maximum of 1000 child entities are displayed. If there are actually more than 1000 that could be loaded, a message appears, telling you that only 1000 are being shown.

Maintaining/Checking the Structures:

Over time, the structure of objects can evolve to meet customer needs. If this occurs, you can utilize the Check Tool for the Company Structure Overview to verify the Company Structure Definition and the Company Structure UI Configuration.

  • Navigate to Admin Center > Check Tool
  • Select "Company Structure Overview" from the Application drop-down menu
  • Select "Configuration Issues" in the Area dropdown > Go
  • Click "Run 1 Check"
  • Review the Result > Check Information and correct the issue

Known Limitations:

  • Currently only MDF Foundation Objects are supported by the Company Structure Overview feature. Legacy Foundation Objects (Location, Pay Grade, etc.) cannot be used for configuration as per the current system design.
